** This position is posted on behalf of a client located in Mobile, AL. ELM is assisting with the recruitment process but is not the hiring company or employer for this position. **
We are seeking a dependable and detail-oriented Administrative Assistant to support day-to-day office operations and assist with bookkeeping, accounts payable, document management, and administrative projects. This position is ideal for someone who is organized, comfortable working independently, and able to manage multiple priorities while maintaining accuracy and confidentiality.
Key Responsibilities
  • Assist with bookkeeping and accounts payable, including processing invoices, maintaining records, and supporting routine financial administrative tasks.
  • Utilize QuickBooks, Microsoft Excel, and Microsoft Outlook for financial tracking, reporting, correspondence, scheduling, and general office functions.
  • Perform data entry and document management, ensuring information and records are accurate, organized, and easily accessible.
  • Maintain and organize digital and physical files, records, invoices, and other business documentation.
  • Provide general administrative support to ensure the day-to-day office operations run efficiently.
  • Assist with retail lease projects, including organizing documentation, tracking information, preparing materials, and supporting project-related administrative tasks.
  • Communicate professionally with vendors, tenants, clients, and other business contacts as needed.
  • Assist with special projects and other administrative duties as assigned.

Schedule
This is a part-time position, approximately 25–30 hours per week, with the schedule to be determined based on business needs and candidate availability.
