Responsibilities
  • Assist with project technology and document control activities during project startup, including user onboarding and support.
  • Participating in project technology startup meetings, documenting meeting minutes, and assisting with tracking and following up on action items arising from discussions.
  • Assist in developing and documenting project processes.
  • Assisting with developing and maintaining best practice manuals and procedures.
  • Assisting with updating intranet information related to project transfers.
  • Assist with the development and maintenance of digital forms.
  • Assist with archival and closeout of project technologies and records.
  • Developing and maintaining customer-focused relationships with all stakeholders.
  • Assist with preparing and maintaining project and department reports.
  • Supporting day-to-day operations by performing administrative tasks for manager, department, or team.  
  • Assisting with planning meetings and events, including arranging for catering, booking locations, and distributing information.
  • Arranging travel, hotel, and car reservations and preparing travel itinerary.
Qualifications
  • 3 years of experience in administration, project coordination, document control, construction support, or a related role.
  • Previous experience working in a construction, engineering, architectural, or project-based environment is required.
  • Demonstrate a working understanding of RFIs, submittals, and construction drawing management processes.
  • Intermediate skills in Word, Outlook, PowerPoint, Excel, Adobe, and OneNote.
  • Experience with project management software, SharePoint, Egnyte, or Autodesk ACC (Forma) is preferred.
  • Post-secondary education in administration, business, construction, legal studies, records management, or a related field is considered an asset. Equivalent combinations of education and experience will be considered.
  • Excellent verbal, written and interpersonal communication skills.
  • Strong attention to detail with a commitment to accuracy and quality.
  • Ability to identify and resolve problems independently.
  • Ability to manage competing priorities, navigate challenging situations, and remain calm under pressure.
  • Ability to multitask and adapt to change.
  • Ability to act with discretion when handling confidential information.
  • Ability to develop and maintain effective stakeholder relationships.
  • Ability to create, edit, proofread, and format documents/presentations.
