Job description

Administrative Assistant

We are seeking a highly organized and dependable Administrative Assistant to provide direct administrative support to our Plant Manager and assist with the day-to-day operations of our manufacturing facility.

This position will serve as an important point of coordination between the Plant Manager, employees, Human Resources, other departments, vendors, and visitors. The ideal candidate is proactive, detail-oriented, comfortable working in a fast-paced manufacturing environment, and able to manage multiple priorities while maintaining professionalism and confidentiality.

Key Responsibilities
  • Provide direct administrative support to the Plant Manager, including scheduling, correspondence, document preparation, and follow-up on assigned tasks.
  • Coordinate meetings, appointments and plant activities.
  • Prepare reports, presentations, spreadsheets, correspondence, and other documentation for plant management.
  • Maintain organized physical and electronic files and ensure accurate recordkeeping.
  • Manage incoming calls, emails, correspondence, and other communications and direct inquiries appropriately.
  • Assist the Plant Manager with tracking projects, deadlines, action items, and other operational priorities.
  • Coordinate communication and information between the Plant Manager and other departments.
  • Assist Management and Human Resources with employee onboarding and administrative processes.
  • Support scheduling and coordination of on-site interviews.
  • Assist with maintaining safety and compliance documentation, including OSHA logs and related records.
  • Greet and assist visitors, vendors, candidates, and other guests in a professional manner.
  • Provide administrative support for plant meetings, employee communications, training, and special projects.
  • Perform data entry and maintain accurate records within company systems.
  • Handle confidential and sensitive information with appropriate discretion.
  • Perform other administrative and operational support duties as assigned by the Plant Manager.
Minimum Qualifications
  • High school diploma or equivalent.
  • Previous administrative, office support, or related professional experience.
  • Proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accuracy.
  • Ability to prioritize multiple assignments and meet deadlines in a fast-paced environment.
  • Ability to work independently while collaborating effectively with employees at all levels of the organization.
  • Ability to handle confidential information with professionalism and discretion.
Preferred Qualifications
