Overview

Herzog Energy, Inc. is currently seeking a Document Control Coordinator in Reno, NV to join our team.
The Document Control Coordinator is responsible for operating various document reproduction equipment and maintaining document storage files for originals and/or revisions, and by utilizing the document control process.

Duties and Responsibilities:

*This is a non-exhaustive overview of the job duties for this position.

  • Ensuring the correct sequential processing of project drawings, documents and submittals using an approved project transmittal process.
  • Ensuring the version and revision control of documents utilizing the project approved document repository and/or document management system.
  • Ensuring the segregation of obsolete or superseded documents; whether in electronic format or hard copy.
  • Assisting the Project Manager, Project Engineer and Superintendent(s) with the assurance that only the latest revisions of the documents and/or drawings necessary to perform project construction, installation or testing are released to the field.
  • Notifying the Project Manager, the Project Engineer and Superintendent(s) that a newer version of a drawing, or document, has been released and to capture all obsolete or superseded documents from the field, and field vehicles, and properly secure them in an access-controlled lock-and-key area.
  • Ensuring the control of documents/drawing stamps, ensuring stamp maintenance and cleaning, and ensure that the documents and drawings are stamped with the correct disposition when required.
  • Being able to read and understand drawing border information, border blocks, professional engineer stamps and knowing the stamp locations.
  • Ensuring drawings contain the correct data and revision necessary for document version control.
  • Operate reproduction equipment such as blueprint, high speed copiers, etc. to produce legible copies.
  • Receiving electronic or hard copy product or service bulletins and maintaining the revision control of the product/service bulletins.
  • Ensuring the Project Manager, Project Engineer and Superintendent(s) are made aware of received product and/or services bulletins.
  • May operate other equipment - padding machine, binding, folding machine, paper cutter to produce document packages per instruction for requestor.
  • Maintain/file reproduced document originals/revisions for easy retrieval.
  • May type various department forms, i.e., document transmittals.
  • May assist in distribution of completed reproduction work.
  • Perform routine adjustments and surface cleaning of machines to insure proper working condition. Notify supervisor and/or equipment manufacturer when repairs are required.
  • Perform additional assignments per supervisor’s direction.
  • Regular and consistent engagement, participation and promotion of Herzog’s Culture and its essential behaviors are a requirement for this position.
  • Regular and predictable attendance and punctuality are a requirement for this position.
  • Other duties as assigned.


Qualifications:

  • High school diploma or equivalent.
  • Excellent verbal and written communication skills required.
  • Excellent organizational skills.
  • Good time management skills.
  • Excellent attention to detail.
  • Must be proficient in MS Word, Excel, and related Microsoft products.
  • General knowledge of office procedures preferred.
  • Ability to multi-task.

Pre-Employment Requirements:

  • Subject to pre-employment background check and motor vehicle report review.
  • Maintain a valid driver’s license and endorsements as required per position.
  • Subject to pre-employment physical, medical evaluation, and drug screen.
  • Successfully complete and maintain any required safety certification and testing on an annual basis.
