Job description

  • Maintain and update master project schedules for grant-funded projects
  • Track engineering deliverables, permitting progress, construction activity, and turnover milestones
  • Track construction progress including mainline build, splicing, testing, and closeout activities
  • Flag overdue or at-risk deliverables and milestones to project and construction leadership
  • Maintain project dashboards for schedule performance, deliverable status, and construction completion
  • Track change orders, scope modifications, and schedule revisions with supporting documentation
  • Coordinate information flow among project leadership, permitting, engineering, construction, and client stakeholders
  • Follow up on design deliverables, permitting submittals, inspection reports, as-built packages, production logs, pay applications, and closeout deliverables
  • Route submittals, RFIs, design review comments, and approval requests and track response timelines
  • Schedule project meetings, prepare agendas, and capture minutes and action items
  • Maintain action item logs and drive closure of open items
  • Process and log invoices; verify amounts against contracts, scopes of work, and approved change orders
  • Route invoices through approval workflows and track payment status
  • Track expenditures against budgets and assist with variance reporting and cost forecasting
  • Support grant reimbursement submissions, progress reports, milestone certifications, and compliance documentation
  • Maintain organized, auditable project records and support audit preparation
  • Collect construction production reports and update trackers with route miles, strand miles, splicing, testing, and make-ready completion
  • Track permitting status and update schedules when approvals or rejections affect construction sequencing
  • Prepare construction progress summaries highlighting trends, variances, and areas requiring attention
Requirements
  • High school diploma or GED required
  • Associate or bachelor's degree preferred
  • Minimum 2 years of experience in project coordination, administrative support, or operations support
  • Strong proficiency with Microsoft Office Suite, particularly Excel, Word, and Outlook
  • Experience with project tracking tools or scheduling software (e.g., Microsoft Project, Smartsheet, or equivalent)
  • Excellent organizational skills and strong attention to detail
  • Ability to manage multiple concurrent tracking streams and deadlines
  • Strong written and verbal communication skills
  • Ability to work independently and proactively follow up on open items
  • Preferred experience in telecom, broadband, utility construction, or engineering project management
  • Familiarity with OSP fiber optic construction terminology, project phases, and deliverables
  • Experience with BEAD, RDOF, ReConnect, CAF, or other government-funded broadband deployment programs
  • Experience with grant compliance documentation, reporting, and reimbursement processes
  • Familiarity with invoice processing, budget tracking, and basic cost reporting
  • CAPM certification or coursework toward PMP preferred
