Job description

SUMMARY The Student Support Services Project Assistant provides administrative and programmatic support for the operation of the TRIO Student Support Services program. The position assists with participant recruitment, communication, database management, event coordination, assessment activities, and federal reporting requirements. The Project Assistant works closely with the Project Director, Transfer Advisor, and Retention/Tutoring Coordinator to ensure efficient delivery of services and compliance with U.S. Department of Education regulations. May occasionally be required to work evenings and weekends for special projects and student activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

1. Facilitate administrative, programmatic, and compliance support for the Student Support Services program, including support for participant services, federal reporting requirements, and program operations.

2. Manage participant records in Blumen and other databases and prepare reports and data summaries to contribute to the program evaluation and federal reporting requirements.

3. Maintain records and documentation necessary to ensure compliance with TRIO Student Support Services regulations, U.S. Department of Education requirements, and institutional policies.

4. Review records and update information in Colleague and other databases.

5. Process student attendance information and maintain service records.

6. Create spreadsheets, correspondence, reports, databases, and documents using Microsoft Office, Canva, Canvas, and other software applications.

7. Prepare assessment activities, annual performance reporting, and other federal reporting requirements.

8. Coordinate participant recruitment, application processing, and collection of supporting documentation

9. Operate office equipment and technology systems.

10. Update and maintain SSS and college information available to students.

11. Assist students with computer usage and college information.

12. Project a positive and professional image for Highland Community College.

13. Welcome visitors to the SSS Center and provide information regarding services, programs, and activities.

14. Foster a positive and welcoming atmosphere in the SSS Center.

15. Develop and maintain digital signage, social media content, newsletters, brochures, and other promotional and recruitment materials. 

16. Conduct outreach to participants through email, text messaging, and other communication platforms to encourage engagement and participation in SSS services.

17. Plan and facilitate workshops, seminars, transfer visits, cultural activities, and special events, including logistics, attendance tracking, and evaluation activities.

18. Coordinate purchasing requests, manage inventory records, order supplies, and submit maintenance and IT requests.

19. Promote tutor program operations by overseeing schedules, compiling timesheets, and assisting with training materials.

20. Ensure confidentiality of all information.

21. Speak to tour groups and prospective students regarding SSS services.

22. Perform other duties necessary to support the goals and objectives of the TRIO Student Support Services program.

Education and/or Experience

• Associate degree required in office technology, business, education, or related field.

• Bachelor's degree preferred.

• Two years of relevant work experience or demonstrated proficiency in office management and technology.

• Experience working with databases, reporting systems, student services, or grant-funded programs preferred.

• Experience coordinating events, communications, or student support activities preferred.

• Strong computer skills and the ability to learn new software programs easily.

Language Skills

Strong listening, oral, and written communication skills. Ability to read and comprehend instructions, correspondence, memoranda, and governmental regulations. Ability to compose correspondence and effectively present information in one-on-one and small-group settings.

Mathematical Skills

Ability to perform basic mathematical computations and interpret graphs and reports. Bookkeeping skills are a plus.

Reasoning Ability

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form and to deal with problems involving several concrete variables.

Other Abilities and Skills

The successful candidate will possess strong organizational, communication, and decision-making skills and demonstrate the ability to maintain composure while balancing multiple priorities. The individual must exhibit sensitivity and experience working with students and individuals from diverse social, economic, ethnic, academic, and cultural backgrounds. The ability to work independently, manage accurate records, prepare reports, coordinate projects and events, and maintain confidentiality is essential. A commitment to student success and to the mission and objectives of the TRIO Student Support Services program is required.
