Job description

Ascensus is the leading independent technology and service platform powering savings plans across America, providing products and expertise that help nearly 16 million people save for a better today and tomorrow.

This position is responsible for writing, coordinating, scheduling, and timely publishing of content for internal and external client-facing communications across various channels and product offerings. They are also responsible for creating and maintaining an annual detailed communication plan that documents the client communications that must be written and delivered throughout the year.

The Business Communications Coordinator is responsible for facilitating business and technical review/approval of communications.

An understanding of IRAs, HSAs and ESAs and an awareness of other types of retirement plans in the retirement industry, as well as Ascensus RPS products, offerings, and clients is critical for the success of this position.

Section 2: Job Functions, Essential Duties and Responsibilities
  • Responsible for protecting, securing, and proper handling of all confidential data held by Ascensus to ensure against unauthorized access, improper transmission, and/or unapproved disclosure of information that could result in harm to Ascensus or our clients.
  • Our I-Client service philosophy and our Core Values of People Matter, Quality First and Integrity Always should be visible in your actions on a day to day basis showing your support of our organizational culture.
  • Interact and collaborate with internal and external constituents to understand the goals of each communication including defining communication objectives, identifying touch points and validating delivery method (e.g., email, content manager, web, dynamic content generator).
  • Create content for various internal and external communications, including but not limited to: web content, emails, announcements, and presentations.
  • Work with other RPS associates to design new courses, job aids, confluence pages, etc. and develop new content as needed.
  • Ensure communications are written to be professional, accurate, timely, and consistent with style, tone, and branding guidelines.
  • Proofread and fact check so every communication that reaches our clients is accurate, correct, timely, and relevant.
  • Provide writing, editing, review, and proofing services for the departments within RPS Service & Fulfillment as requested.
  • Create and maintain an annual detailed communication plan that documents the client communications that must be written and delivered throughout the year. Coordinate and facilitate business and technical review/approval of communications.
  • Participate as a contributing member to business readiness teams and project review meetings as needed to evaluate various communication pieces; consult on the potential effectiveness of the strategy and ensure that content and images are appropriately matched for the defined strategy.
  • Advise internal stakeholders on technical requests, staging, timelines, and tradeoffs. Negotiate priorities across multiple stakeholders and resource groups.
  • Maintain knowledge and publish content to Content Management Systems, HTML, and Dynamic Content Repositories to create solutions to requests.
  • Enhance technical and industry knowledge by attending continuing education classes on qualified retirement plans, IRAs, health savings accounts (HSAs), and Coverdell education savings accounts (ESAs) for compliance and commercial applications.
  • Maintain continuing education requirements for existing IRA and qualified plan certifications.
  • Assist with other tasks and projects as assigned.

Section 3: Experience, Skills, Knowledge Requirements

  • Ability to integrate knowledge of retirement planning industry as well as Ascensus' business, programs, products, services and resources into communications.
  • Demonstrated ability in copy writing, proofreading, and project management.
  • Ability to translate technical language and industry jargon into easy-to-understand content.
  • Excellent relationship management skills. Ability to communicate clearly and concisely with other personnel and external stakeholders on complex topics for a diverse set of non-technical audiences through strong, organized written and verbal skills.
  • Organizational and planning skills with the ability to establish and meet deadlines, handle multiple priorities, quickly switch priorities and remain calm under pressure.
  • Ability to navigate ambiguity, improve inefficient processes, and drive to solve problems.
  • Proven ability to quickly grasp information and independently produce results.
  • Ability to work independently as well as within a team effectively.
  • Ability to provide consultative advice when editing the work of others within the organization.
  • Demonstrate strong attention to detail relating to material accuracy, consistency, grammar, and punctuation.
  • Proficient in Microsoft Office Suite, high comfort-level of PowerPoint or ability to quickly learn.
  • Proficient in Adobe Acrobat Professional or ability to learn quickly.
  • Four-year college degree and equivalent experience, preferably in English, Journalism, Communications, Marketing, or a related field.
  • Must have or earn the CIP or CISP certification.
  • Must have a minimum of 2-3 years of technical writing, editing, and proofing experience, ideally within the financial services industry.
