Lead Administrative Assistant - Graduate Program Coordinator
City: WEST LAFAYETTE
Job Description:
Job Summary
The Department of Speech, Language, and Hearing Sciences within the College of Health and Human Sciences is seeking a Lead Administrative Assistant, Graduate Coordinator to join our team.
This position provides comprehensive lead administrative support to Speech, Language, and Hearing Sciences (SLHS) students, faculty, and graduate program chairs. The position will provide direct support to SLHS faculty and graduate students across the Master, AuD, and PhD programs, serving as the primary contact for approximately 125 graduate students. Responsibilities also include assisting with the development and implementation of department policies and procedures, and continually assessing and recommending improvements to the graduate program.
This role requires managing multiple priorities and projects with creativity, flexibility, self-motivation, and strong problem-solving and communication skills. The ideal candidate will demonstrate leadership abilities, experience working with confidential information, and the capability to work independently with little supervision and as part of a team. They must also be dedicated to student success and exhibit the ability to think creatively, analytically, and strategically.
What You'll Be Doing:
  • Key responsibilities include maintaining and updating graduate student files, reviewing and administering graduate program policies and procedures.
  • Coordinating the graduate application process, managing student admissions, and serving as a liaison between students, faculty, and other department partners.
  • A large portion of this position will also include managing graduate student appointments, maintaining budget standards, and having foresight to prevent funding issues.

Education and Experience:
  • High School Diploma/GED.
  • Four years of experience in an administrative support role.

Skills Needed:
  • Excellent written, verbal and interpersonal communication skills.
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality.
  • Strong organizational and time management skills and attention to detail.
  • Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs.
  • Ability to interpret policies and procedures to proactively resolve issues or improve processes.
  • Ability to identify problems and implement or recommend solutions.
  • Drafting, proofreading and editing skills.
  • Ability to lead others and provide direction and constructive feedback.
