Center for Life Management (CLM) provides the area's most comprehensive array of outpatient mental healthcare. We offer a variety of innovative and evidence-based services to treat common mental health disorders. The Medical Assistant (MA) in the Medical Team Department supports Medical Services and the Depression Center by providing direct clinical assistance for patients receiving Transcranial Magnetic Stimulation (TMS) treatment and Spravato (esketamine) therapy, as well as supporting medical providers during outpatient mental health appointments. This role is responsible for patient rooming, pre and post-appointment clinical support, administration of TMS treatments, observation and monitoring during Spravato administration, and coordination with the medical and clinical care teams to ensure safe, efficient, and compassionate patient care. All clinical activities are performed under the direction of licensed medical providers and in accordance with CLM policies, training, and applicable regulations.
This is a full-time, 40 hours per week position.
Major Functional Areas and Description of Duties
Clinical Support & Patient Care
  • Prepare patient for medication management appointments, including obtaining vital signs and most recent laboratory results, and reviewing assessment scales.
  • Assist medical providers with patient flow and clinical needs prior to, during, and after appointments.
  • Ensure exam rooms are prepared, stocked, and cleaned according to clinical and infection control standards.
  • Provide patient education as directed by medical providers.
  • Accurately document clinical information in the electronic medical record.

TMS Treatment Support
  • Assist with the delivery of Transcranial Magnetic Stimulation (TMS) treatments under provider direction and within scope of training.
  • Prepare treatment rooms and equipment for TMS sessions.
  • Monitor patient during treatment sessions and report concerns or adverse effects to clinical staff.
  • Maintain accurate documentation of treatment sessions.

Spravato Observation & Monitoring
  • Support Spravato clinic by preparing observation areas and assisting with patient check-in.
  • Monitor patient during the required post-administration observation period in accordance with REMS and clinic protocols.
  • Perform and document vital signs and safety checks during patient observation.
  • Complete Spravato REMS documentation for each treatment session.
  • Communicate any clinical concerns or adverse effects promptly to medical staff.

Administrative & Team Support
  • Coordinate with nursing staff, providers, and administrative team members to ensure efficient patient care and clinic flow.
  • Assist with scheduling support, patient communication, and follow-up tasks as assigned.
  • Maintain compliance with HIPAA, safety standards, and clinic policies.
  • Participate in team meetings, training, and quality improvement initiatives.

Physical Demands and Working Conditions
All work will be performed in a clinical outpatient office requiring ability to move between treatment rooms throughout the day. Ability to assist patients safely as needed and ability to lift and carry up to 25 pounds. Manual dexterity is needed to operate the TMS machine, computer, and standard office equipment. The ability to stand and sit for extended periods of time is required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the role.

Requirements
Qualifications and Skills
Required Qualifications
  • Certified or Registered Medical Assistant (CMA, RMA, or equivalent).
  • Completion of an accredited Medical Assistant training program.
  • Basic Life Support (BLS/CPR) certification (or ability to obtain upon hire).
  • Strong interpersonal and communication skills.
  • Ability to work effectively with patients experiencing depression and other mental health conditions.
  • Proficiency with electronic medical records (EMR) systems and basic Microsoft Office applications (Outlook, Word, Excel).
  • Ability to document effectively and efficiently in course of clinical work.
  • Ability to exercise sound clinical judgment in routine, urgent, and emergent clinical situations.
  • Ability and desire to work as part of a clinical team while also able to be self-directed and motivated with minimal supervision;
  • Ability to acquire and effectively practice new clinical skills as needed according to evolving agency needs/services.

Preferred Qualifications
  • Associate or Bachelor's degree is desired.
  • Experience in behavioral health, psychiatry, or mental health settings working closely with patients.
  • Prior experience with TMS and/or Spravato treatment (or willingness to be trained).
  • Experience in outpatient medical or specialty clinic settings.
  • Familiarity with REMS protocols or medication observation programs.
