HIV Services Quality Specialist (Administrative Assistant)

Location: Case Management / Brockton COPE
Hours: 24 hours/week (Flexible Schedule)
Salary Range: $23–$25/hour
FLSA Status: Non-Exempt
Reports To: Senior Director of HIV Services

What You’ll Do:

The HIV Services Quality Specialist provides administrative, data management, and quality assurance support to ensure program compliance, accurate reporting, and effective program operations.

Data Management & Quality Assurance

• Review and monitor program data to ensure accuracy and completeness within CareWare, SSP Workbooks, ITLS forms, STHN forms, and other required reporting systems
• Run weekly CareWare reports and perform quality assurance reviews
• Submit required data and barcodes to the Massachusetts Department of Public Health (MDPH)
• Maintain internal data tracking systems and reporting databases
• Support qualitative and quantitative program reporting requirements for BAMSI and MDPH
• Collaborate with staff to improve data quality and reporting outcomes

Program Support & Administration

• Assist HIV Services staff in documenting linkage-to-care activities and required follow-up services
• Support day-to-day operations of case management and drop-in center programs
• Greet and assist individuals accessing services in a professional and welcoming manner
• Maintain supply inventory and coordinate ordering and tracking of materials as needed
• Attend trainings, meetings, and professional development opportunities relevant to the role

Collaboration & Compliance

• Work closely with the HIV Services team to ensure timely and accurate reporting
• Maintain strict confidentiality of client and employee information
• Ensure compliance with agency policies, funding requirements, and reporting standards
• Assist with special projects and perform other duties as assigned


What You Bring:Education & Experience

• High School Diploma or equivalent required
• Experience in administrative support, data entry, reporting, or program operations preferred

Skills & Qualifications

• Strong attention to detail and organizational skills
• Ability to manage multiple priorities and maintain accurate records
• Strong critical thinking and problem-solving abilities
• Excellent written, verbal, and interpersonal communication skills
• Ability to work independently while also collaborating as part of a team

Technical Skills

• Proficiency with Microsoft Word, Excel, and Outlook required
• Experience with CareWare and Department of Public Health electronic reporting systems preferred
• Ability to learn and utilize multiple databases and reporting platforms

Preferred Experience

• Experience supporting individuals living with HIV/AIDS and/or substance use disorders preferred
• Experience working in healthcare, public health, or human services settings preferred

Additional Requirements

• Valid driver's license and reliable transportation required
• Bilingual skills in Portuguese, Cape Verdean Creole, Haitian Creole, or other languages commonly spoken in the Brockton area are highly valued
