Description
SUMMARY:
The Part-Time Office Assistant provides administrative and customer service support for a fast-paced construction training program at South Suburban College. This position assists students, instructors, and community partners by ensuring efficient daily office operations and providing support for program activities, registrations, testing, and special events.
Examples of Duties
  • Answer incoming telephone calls, respond to inquiries, and greet students, visitors, and community partners in a professional and courteous manner.
  • Complete and process student registrations, payments, and required program documentation.
  • Utilize the Colleague student information system to process registrations, maintain records, and perform other program-related functions.
  • Proctor placement and assessment tests while ensuring testing procedures and confidentiality are maintained.
  • Provide administrative support for customized workforce training programs conducted on campus and at off-site locations.
  • Assist with planning, coordinating, and supporting Extension Services & Workforce Development partnerships, conferences, meetings, recruitment events, and special programs.
  • Prepare and maintain accurate student files, reports, and correspondence.
  • Assist with data entry, scheduling, filing, and general office operations.
  • Maintain a welcoming, organized, and professional office environment while providing excellent customer service.
  • Perform other related duties as assigned to support the goals and objectives of the department.

Minimum Qualifications
  • High school diploma or equivalent; associate degree preferred.
  • Previous office administrative or customer service experience, preferably in a higher education or workforce development environment.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to work effectively in a fast-paced environment while managing multiple priorities.
  • Proficiency with Microsoft Office applications and the ability to learn new software systems, including Colleague.
  • Ability to maintain confidentiality and handle sensitive student information with professionalism.
  • Ability to work independently and collaboratively as part of a team.

Supplemental Information
PREFERRED QUALIFICATIONS:
  • Journeyperson certification or vocational/technical background in construction, manufacturing, or mechanical fields.
  • Experience with pre-apprenticeship or workforce development programs.
STATUS/SALARY: This is a part-time position, 20 hours per week, 50 weeks per year. Wages will be determined by experience and level of education and or Journeyman status.
