Job description

Overview

Job Description โ€“ The individual is responsible for ensuring United We Care remains in good legal, regulatory, and financial standing while supporting effective governance and day-to-day operations. This role owns nonprofit compliance, filings, vendor oversight, and operational coordination, and serves as a key liaison between the Board of Directors, third-party service providers, and United Airlines.

This is a hands-on, independent role suited for an experienced nonprofit professional with strong judgment, attention to detail, and comfort operating as the operational backbone of a small but highly regulated organization.

Workload may vary throughout the year based on regulatory filing deadlines, board meetings, and fundraising events.

Position is Hybrid (Willis Tower)

Key Responsibilities

  • Nonprofit Compliance & Legal Operations
  • Ensure ongoing compliance with federal and state nonprofit laws and regulations
  • Prepare, manage, and file required documentation with the IRS and State of Illinois (including annual filings and registrations)
  • Coordinate preparation and submission of IRS Form 990 and related schedules
  • Maintain records, governing documents, policies, and compliance calendars including bylaws, board resolutions, and governance documentation
  • Maintain charitable registration and required filings with applicable state authorities
  • Maintain and manage an annual compliance calendar to ensure all regulatory and governance deadlines are met
  • Monitor regulatory changes that may impact nonprofit operations and advise the Board as needed
  • Coordinate with legal counsel, accountants, and auditors or other similar parties
  • Support annual audits and ensure timely resolution of findings
Financial Administration & Controls
  • Maintain accurate financial records and oversee bookkeeping activities using tools such as QuickBooks
  • Manage bank accounts, payments, and financial processes within Board-approved controls
  • Ensure appropriate financial controls and documentation are maintained for all financial transactions
  • Prepare financial summaries and reports for the Board of Directors
  • Support budgeting, forecasting, and cash flow tracking
