Job description

Newforma Konekt's teams are scaling, and the initiatives they run are getting more complex, more contractors, more dependencies, more moving pieces to keep in sync. That's exactly what makes this role interesting: it's a newly created seat at the table, a chance to build the connective tissue that keeps a fast-moving product organization running smoothly, and to shape how that coordination works from the ground up.

Reporting directly to the Chief Product Officer and partnering closely with Product Directors and Group Product Managers, you'll maintain the real-time picture of capacity, budget, and progress across squads and contractors. You'll coordinate where resources go, track what's on schedule and what's not, and keep the roadmap moving, turning leadership's decisions into smooth, well-tracked execution. You won't define roadmap content or set priority between initiatives; that stays with Directors and GPMs.

In this role, your responsibilities will include:

Capacity & Resource Tracking

  • Coordinate the annual capacity planning exercise for the roadmap, compiling inputs from squads and contractors into a realistic plan
  • Maintain monthly per-squad tracking of actual vs. planned assignment vs. remaining work
  • Maintain visibility into the full resource pool (internal teams and contractors) and where each is assigned
  • Recommend rebalancing across squads as priorities and availability shift, surfacing reallocation options to Directors/GPMs for decision

Budget Tracking & Forecasting

  • Track actual spend vs. budget across contractor cost buckets and internal resourcing, including grants
  • Maintain rolling initiatives budget forecasts and flag variances early enough to course-correct
  • Set up and maintain grant budget and project foundation tracking: eligible spend, allocation, and alignment with grant terms

Roadmap & Program Coordination

  • Coordinate roadmap planning logistics: timelines, deliverable tracking, milestone follow-up
  • Run the intake process for new requests, assessing capacity, timing, and skill impacts after routing for a decision
  • Maintain program plans for each initiative tracking milestones, scope changes, and dependencies
  • Maintain a program-level risk register and drive cross-squad tradeoff discussions when dependencies put timelines at risk
  • Partner with PMs and engineering leads to sequence work and navigate technical tradeoffs

Meeting Facilitation & Documentation

  • Plan and facilitate working sessions with leads and cross-functional groups
  • Maintain a centralized source of truth for program documentation plans, trackers, risks, decisions

Contractors & Cross-Team Coordination

  • Maintain operational coordination and deliverable tracking with external contractors logistics only; strategic contractor decisions remain with Directors
  • Manage contractor onboarding/offboarding logistics: kickoff, access/tooling setup, handover, closeout
  • Facilitate recurring program rituals (e.g., biweekly task force syncs)
  • Identify and escalate flow and efficiency issues across squads, driving them toward resolution

Reporting & Communication

  • Prepare consolidated status reporting for the CPO and executive team on progress, risks, and key decisions that need to be made
  • Contribute to grant applications, pulling supporting data and metrics from across the team

Release Management

  • Coordinate launch logistics across squads and contractors timing, readiness checkpoints, handoffs
  • Coordinate release notes and announcements, and continuously improve launch playbooks

Requirements for the position include:

  • 5+ years in program or project management, ideally in B2B SaaS or an AEC-adjacent environment
  • Track record managing complex programs with cross-functional teams including significant external dependencies and multiple stakeholder groups
  • Strong cross-functional coordination skills across engineering, product, and external contractors
  • Comfortable turning ambiguous signals into structured, data-backed reporting
  • Thrives in ambiguity, comfortable building process where none exists yet, in a fast-growing, still-forming environment
  • Proactive and self-directed, quick to spot gaps and risks
  • Strong facilitation and influencing skills able to align teams and contractors without formal authority
  • Excellent written and verbal communication, comfortable operating at a variety of altitudes
  • High attention to detail, precision matters when capacity, budget, and contractor data all roll up through one person
  • Advanced Excel skills
  • Hands-on experience administering a roadmapping tool (Aha!, Jira, or equivalent)
  • Working knowledge of budget/forecasting concepts (burn rate, variance analysis, cost-bucket tracking)
  • Comfortable building dashboards/reporting views from multiple data sources
  • Comfortable using AI tools to support the work

Nice to have qualification for this position include:

  • Bilingual French/English preferred
  • Experience with grant reporting is a plus, not a requirement
  • Light data-querying skills (basic SQL or advanced spreadsheet functions) a plus
