JOB SUMMARY

The Assistant Program Manager supports the Program Manager in the day-to-day operations of the program and acts in a leadership capacity in the Program Manager’s absence. This role helps oversee staff, coordinates program activities, leads special projects, ensures service delivery, and contributes to strategic planning and development.

The Assistant Program Manager plays a key role in program compliance, staff supervision, community partnerships, data reporting, and program expansion. The position requires strong leadership, coordination, and organizational skills and will work both independently and collaboratively with internal teams and external stakeholders.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Performs a combination, but not necessarily all, of the following duties:

  • Assist with program planning, implementation, and evaluation.
  • Coordinate and lead special projects or initiatives as assigned.
  • Support data collection, report preparation, and program documentation.
  • Monitor contract and programmatic compliance, ensuring alignment with deliverables.
  • Participate in audits, site visits, and quality improvement initiatives.
  • Provide day-to-day support to program staff, including Community Health Workers (CHWs), outreach teams, and navigators.
  • Lead team meetings, provide coaching and support to staff, and escalate performance concerns as appropriate.
  • Support the hiring, onboarding, and training of new staff.
  • Develop and maintain relationships with community partners and stakeholders.
  • Represent the program at community meetings, coalitions, trainings, and events.
  • Collaborate with county, city, or funder representatives on deliverables and initiatives.
  • Assist with monthly billing, budget tracking, and purchasing of program supplies.
  • Maintain accurate and up-to-date records, logs, and participant documentation.
  • Help prepare reports for internal leadership and funders.
  • Create outreach materials, manage calendars, and coordinate logistics for events.
  • Provide comprehensive education and information through street outreach, health fairs, school relationships, community events, and other approved activities.
  • Attend regularly scheduled, impromptu meetings, and maintain communication with program team members and supervisor.
  • Assist in the production of required weekly, monthly, and/or quarterly data collection reports.
  • Assist with program evaluations and updates to assigned program and services.
  • Attend appropriate community resource meetings and trainings, as assigned.
  • Work in collaboration with other departments when required.
  • Create, edit, and reproduce outreach materials.
  • Attend meetings, trainings, and other work-related events as needed.
