The Media Finance Manager is a critical role within the media organization, responsible for ensuring the accuracy, integrity, and scalability of all media financial operations. Reporting to the Media Operations Director, this individual will lead the end-to-end media billing process, vendor financial management, and cross-functional alignment across finance, media, and client teams.

This role serves as the central point of coordination for media out-of-pocket (OOP) expenses across Avalere Health, ensuring consistency, compliance, and operational excellence across all agencies and lines of business. The ideal candidate brings strong financial acumen, process rigor, and the ability to operate effectively in a fast-paced, highly regulated environment.

What You'll Do

RESPONSIBILITIES

ย 

Media Billing & Financial Operations

  • Execute all aspects of the media vendor billing lifecycle, including:
  • Executing the airtime process
  • Invoice collection and approval workflows
  • Invoice Coding
  • Resolution of invoice and billing discrepancies (post-SOP implementation)
  • Ensure accuracy and timeliness of all billing activities, maintaining alignment with internal finance teams and client expectations
  • Continuously identify and implement process improvements to enhance efficiency and reduce errors
  • Setting up and updating finance trackers
  • Reconciling budgets against campaign workbooks
  • Saving invoices
  • Identifying missing invoices and communicating with media team and vendors

Process Implementation & Standardization

  • Execute the media billing process and SOPs across:
    • All legacy agencies
    • Lines of business within Avalere Health
  • Drive standardization of financial workflows to create a unified, scalable media finance infrastructure
  • Partner with operations and finance leadership to refine and evolve processes as the organization grows

Media OOP (Out-of-Pocket) Financial Management

  • Serve as the primary point of contact for all media OOP spend across Avalere Health
  • Track, manage, and reconcile all media-related expenses across accounts and business units
  • Provide visibility into OOP spend through reporting and regular updates to stakeholders

Cross-Functional Finance Collaboration

  • Work closely with Accounts Payable (AP) and Accounts Receivable (AR) teams to:
    • Ensure alignment on billing timelines and processes
    • Resolve discrepancies efficiently
    • Maintain accurate financial records
  • Act as a liaison between media, finance, and client teams to ensure seamless financial operations

Client Team Integration & Financial Tracking

  • Participate in weekly and monthly client team meetings to:
  • Ensure alignment on media budgets and billing status
  • Validate financial tracking across all stakeholders
  • Provide updates on reconciliation, discrepancies, and forecasts
  • Support client-facing teams with accurate financial insights and reporting

Vendor Financial Management

  • Support vendor onboarding from a financial perspective
  • Ensure vendors adhere to billing timelines, formats, and requirements
  • Maintain strong relationships with vendors to facilitate smooth financial operations
About You

Required

  • Bachelor's degree in Finance, Marketing, Media Studies, or Communications
  • 3-5+ years of experience in media finance, agency finance, or media operations
  • Strong understanding of media billing processes, reconciliation, and vendor management
  • Experience working with AP/AR teams and financial systems
  • High level of attention to detail and strong organizational skills
  • Ability to manage multiple stakeholders and deadlines in a fast-paced environment
  • Experience with Media Ocean, NetSuite and/or Adobe Workfront
  • Exceptional knowledge of media buying process
  • Experience communicating with key stakeholders including internal teams and agency partners
  • Ability to multitask and be a team player in fast paced environment
  • Strong interpersonal, analytical, problem-solving, negotiating, and conflict resolution skills
$85,000 - $111,000 a year
