What You'll Do:
The Sales and Events Coordinator is administratively responsible for supporting events, operations and the direct sales efforts of the Hyatt Regency Baltimore. This position is a proactive, empowered problem solver who provides meeting & event planners with seamless, on-site support. The coordinator acts as a liaison between the event managers and meeting & event planners during the event phase of the meeting or special event. This position is a highly visible representative of the hotel and who is aimed towards addressing guest needs, anticipation and resolution of potential problems.
Primary responsibilities include, but are not limited to, supporting the events team, answering phones, updating Hyatt's internal systems, coordinating and attending meetings, assisting on the floor with group events, administrative work, and direct customer service. Additionally, providing consistent and clear communication with members of the sales, events and operations team is key to this position's success.
The Sales and Events Coordinator relationship with operational departments is essential to their role. They work closely with every department in the hotel to ensure each event is successful. This position is a wonderful introduction to hospitality/sales/event disciplines.
The hourly starting rate for this position $22.03/hour. This position is eligible to earn overtime, shift differentials and premium pay under certain circumstances, tips, commissions, service charges, or incentive awards.
Responsibilities include:
• Maintain high level of knowledge of the offerings within the hotel, accommodations and departments.
• Supporting event planning managers on the meeting floor.
• Answer phone professionally, details information accurately, and communicates all inbound calls with Sales & Events team.
• Perform property site tours as requested.
• Submit purchase orders, amenities, supply order, World of Hyatt Points, and inbound leads into Hyatt software systems.
• Helps with group VIP's and alerts sent out to the hotel.
• Offers warm and sincere welcome/farewell for all guests including use of customer service and guest satisfaction
• Coordinating communication between the Events Office, Front Desk, Engineering, Culinary, and Food and Beverage Departments for Definite Groups and Social Events.
• Resolves guest issues promptly and with great care and effectiveness
• Maintains constant awareness of safety issues, (i.e., broken glass, frayed electrical cords, leaks, broken locks and suspicious persons). Reports all safety incidents to on-duty supervisor.
• Attend Daily Stand-up Meeting, Weekly Resume Meeting, and other departmental meetings as assigned.
• Project a professional company image through in-person, email and phone interactions.
• Perform general clerical duties including information flow in support of events team.
• Manage confidential information with discretion and respect of privacy to high profile guests
• Other tasks as assigned by the Associate Director of Events and Director of Sales, Events and Marketing
• Assists with preparing site tours, itineraries, and walking meeting space and rooms and Sales & Events.
• Helps with diagrams, menus, calendars, and reports for Events
• Projects enthusiasm and a hands-on mentality, along with the ability to work as a team member.
• Submit orders into hotel's amenity system for personalized welcome amenities and welcome cards.
• Follows Event Operations Event Orders with strong attention to detail.
• Reports to work on time and according to posted schedule, maintains accurate time records and follows proper standards for issuance of rooms.
• Assists with in-house events, and events and operations team to support guest requests, needs, & changes.
