Event Coordinator

How does the role impact the organization?

Reporting to Senior Manager, Corporate Events & Sponsorships, the Event Coordinator plays a key role in the planning and execution of high-profile internal and external corporate events for advisors, clients and employees. These events strengthen brand reputation, foster relationships and support strategic messaging while reinforcing the firm's client-first culture and contributing to business development and client retention.

Positioned within Corporate Communications & Marketing, the role ensures all events align with corporate strategy, key messages and brand standards, and collaborates closely with leadership, marketing, corporate communications, compliance and external vendors. This is a resident role based in the Toronto office requiring a minimum of three (3) days per week in office. The role also requires regular in-person presence for vendor and partner meetings, onsite events, site inspections, and travel, as required, to support firm events and programs.

What will your role be responsible for?

  • Assist in the execution of all aspects of corporate events, including conferences, community engagement initiatives, corporate meetings, and networking functions
  • Collaborate with internal stakeholders across business units to define event objectives, messaging, themes, and target audiences
  • Assist with event budgets, forecasts, expenses, and final reconciliations to ensure costeffective planning and financial accountability
  • Coordinate event logistics, including venue sourcing and contract negotiation, catering, audiovisual production, transportation, accommodations, and onsite operations
  • Contribute to event creativity, including developing and executing engaging themes for various events.
  • Develop and maintain detailed event timelines, production schedules, runofshow documents, and communication plans
  • Liaise with and manage internal clients as well as external vendors, sponsors, agencies, and partners to ensure deliverables, service standards, and contractual obligations are met
  • Ensure all events comply with company policies, brand standards, and applicable industry regulations
  • Proactively identify and mitigate risks related to logistics, safety, compliance, and reputation
  • Assist with onsite execution and realtime decisionmaking during events, resolving issues quickly and professionally
  • Manage the internal events inbox, including monitoring messages, responding as appropriate, and escalating items as needed.
  • Mentor volunteer or marketing team members as required
  • Evaluate event success through postevent reporting, stakeholder feedback, and ROI analysis to inform continuous improvement and future planning

What do we expect from you?

  • Bachelor's degree in Event management, Marketing or related field
  • Proven experience (2 years) in event planning, preferably within the financial industry
  • Strong organizational skills and attention to detail
  • Excellent communication and negotiation abilities
  • Ability to work independently and as part of a team
  • Flexibility to work evenings and weekends as needed.

Desirable:

  • Hands on working knowledge of event and marketing platforms, with Swoogo considered a strong asset alongside tools such as Adobe, Box.com, TripBuilder, Advisor Stream
  • Working knowledge of virtual and hybrid event platforms including Zoom and Microsoft Teams
  • Strong skills in Microsoft Excel, PowerPoint, and Outlook with the ability to manage data, and support complex event workflows

Salary Range: $60,000 - 72,000 annually, in addition to competitive performance bonuses/incentives.
