Job Overview :
Reporting to the Executive Director & Program Director, the Office Administrator performs a wide variety of reception, administrative, fiscal, and general daily office functions in support of operations, programs, communications, and fundraising. The Literacy Council of Sarasota (LCS) is an “At-Will” and Equal Opportunity Employer.
Hours: Non-Exempt Full-Time Position, 40 hours per week; Monday-Friday, 9:00 AM – 5:00 PM
Duties & Responsibilities:
· Reception/Communications: Warmly & professionally greet visitors
· Office Admin: Manage & maintain all office equipment, computers, office supply inventory, filing
· Mail: Retrieve, distribute, prepare, & send out mail & packages
· Program Support & Admin: Prepare manuals & other materials as needed; Schedule training & meeting rooms; Organize events and social activities; Assist with timely data collection and data entry.
· Bookkeeping Support: Record all revenue/cash receipts (grants, donor checks, registration fees, etc.) and prepare monthly deposits; Prepare all A/R & A/P for semi-monthly processing & ensure timely invoicing/payments
· Communications: Support of marketing and communications, including but not limited to the agency’s online social media communication.
· Fundraising / Development: Acknowledge all donations, grants, etc. in a timely manner. Assist with fundraising events and related activities.
· Other duties & special projects as assigned.
Qualifications, Experience & Skills Sets Desired:
· Experience in office administration in a busy, fast-paced environment
· Bilingual/bicultural Spanish required
· Strong computer skills with proficiency in Microsoft Office Suite
· Accounts Receivable (AR) /Accounts Payable (AP) processing (formal bookkeeping not required)
· Strong attention to detail & accuracy
· Strong planning, prioritization, & organizational skills; results-oriented
· · Ability to accurately gather & monitor information
· Excellent customer service skills in working directly with the public and volunteers.
· Strong communication skills-verbal/written
· Team player with abilities & desire to interact with people at all levels
· Ability to lift 20 lbs.
