Program Manager Position Summary
The Men's Program Manager assists the Men's Program Director with participant programming and engagement.
The Men's Program Manager is responsible for managing day-to-day participant-related functions. Responsibilities include counseling, case management, education, employment readiness, and aftercare services. No ministry role has more influence over individual participant outcomes than the Program Manager.
The Men's Program Manager must adhere to The Foundry's mission, vision, and core values and be willing to sign its Statement of Faith. The Manager reports directly to the Program Director and upholds the Board of Directors' policies. The Men's Program Manager's responsibilities include those defined in this responsibility description.
Responsibility Description
Men's Program Management:
- Collaborate with the Men's Program Director to maintain on-campus staff coverage at all times.
- Promote honest, timely, and appropriately candid team communications.
- Respond to Men's Program correspondence (parole office's families, and other external partners) within one (1) business day.
- Co-manage dormitory supervisors to investigate incidents and grievances and prioritize conflict resolution among program participants.
- Participation in internal staff and department-specific training opportunities.
- Oversee staffed, on-site, visual, and temperature-verified drug screenings.
- Network with individuals, agencies, services, and other resources to meet the participant's needs.
- Manage program participant phase evaluations and attend phase meetings.
- Facilitate the receipt of participants' legal/identification documents.
- Coordinate medical, dental, optical, and mental health appointments.
- Coordinate legal appointments and legal aid.
- Enter program participant monthly reports via Apricot. Reports include Letter of Residence and notification of participant status changes (graduation, dismissal, etc.) to judicial system officials.
- Maintain confidentiality on an interagency need-to-know basis.
- Develop and maintain healthy boundaries and self-care.
- Maintain a safe, healthy, and life-giving environment based on grace, truth, and love. Encourage trust and authenticity through honesty.
- Embrace the accountability process that leads to self-evaluation and personal change. Empower lasting change.
- Teach and mentor participants at every opportunity using biblical precepts, direct scriptural references, and prayer.
Data Accuracy:
- Ensure same-day data entry.
- Serve as Apricot and Apricot Connect expert.
- Report Apricot Data Accuracy Report outcomes.
Intake and Orientation - Assist Men's Program Director and Intake Coordinator:
- Collaborate on application review and connecting with applicants within one (1) business day of inquiry.
- Ensure exceptional (I Peter 4:10) first-day orientation experience.
- Communicate The Foundry's mission, vision, and shared values statements.
- Oversee timely completion of program participant guidelines, Intake agreements, release of information, Connect registration and training, review of G.R.O.W plan process, and informed consent.
- Partner to ensure that background checks are completed and all Apricot information is uploaded.
AfterCare Partnership - Assist Men's Program Director and AfterCare Director:
- Responsible for ensuring compliance with the program participants' ethical, moral, and judicial orders.
- Responsible for facilitating participant AfterCare process:
- Review of Phase 3 participant Genesis Process Relapse Prevention Plans.
- Partner with Hope Inspired Ministries (H.I.M.) to determine needed services.
- Assist the AfterCare Program Director with AfterCare activities, including graduation service facilitation, graduation applications, administration activities, and communications.
Employment Readiness Supervision:
Provide workforce training to participants in soft skills and technical skills when applicable.
Ensure that the program participants assigned to the Men's Center consistently provide exemplary service and are trained in safety guidelines.
Communicate issues and concerns to the Men's Program staff.
Evaluate program participants per program phase guidelines and participate in weekly phase meetings.
Submit program participant G.R.O.W. forms as needed.
Maintain program participant confidentiality at all times.
Property Management: - Assist Men's Program Director and Operations Department:
Communicate with Facilities to ensure a "Tour Ready" campus.
- Oversee Dormitory Supervisors with dorm management, maintenance, organization, sanitation, and safety.
Program Schedule - Assist Men's Program Team:
- Schedule and facilitate classes, curriculum, and spiritual enrichment opportunities.
- Ensure the equitable assignment of campus tasks/chores between participants/dorm leaders.
- Facilitate campus life and quality-of-life activities, including The Foundry Games, movie nights, volunteer activities, random acts of kindness, and life-event celebrations such as birthdays, sobriety anniversaries, and graduations.
Transportation - Assist Men's Program Director and Operations Coordinator:
- Ensure safe and timely transportation of program participants to and from program-approved activities and Employment Readiness assignments.
- Oversee established vehicle maintenance and cleaning schedules.
- Partner with the Operations Coordinator on driver vetting, training, insurance approval, and safety.
- Oversee the safe operation of Foundry vehicles.
- Partner with the Operations Coordinator on vehicle GPS monitoring, documenting, and addressing monitoring notifications.
Budgeting - Assist Men's Program Director and Business Administration:
- Collect program fees as directed.
- Ensure accountability concerning handling cash, credit accounts, and fleet card management.
Fundraising - Assist Men's Program Director and Development Department:
- Develop relationships with individuals, organizations, and companies that support the ministry's mission, goals, and participants through financial and in-kind donations, services, and volunteer support.
- Provide social media and marketing content as requested.
Volunteer Management and Community Relations - Assist Men's Program Director and Community Engagement Coordinator:
- Partner on volunteer recruitment, scheduling, and management.
- Communicate the volunteer process and use of the VOMO app as requested.
- Develop and nurture professional relationships with service/referral agencies.
- Collect and report accurate statistics for grant compliance.
Safety - Assist Men's Program Director and Chief Operating Officer:
- Maintain compliance with safety protocols regarding staff, program participants, and campus guests.
- Co-manage Dormitory Supervisors in implementing, evaluating, and documenting training and safety drills as directed.
- Coordinate dorm leader safety responsibilities with Dormitory Supervisors.
- Monitor guideline compliance and document/communicate concerns in real-time.
- Ensure program participant guideline compliance, updates, and posting of current contact information regarding safety reports.
- Submit incident/accident reports within 24 hours.
- Manage alarm monitoring during regular working hours.
- Manage medical, mental health, overdose, and suicide/self-harm emergencies as defined.
- Partner with Dormitory Supervisors to coordinate fire and severe weather emergencies as defined.
- Ensure accessibility of first-aid kits, overdose reversal kits, and fire extinguishers.
Assist Chief Program Officer:
- Facilitate tours on behalf of the Chief Program Officer in their absence.
- Ensure "TOUR READY" facilities and properties at all times, including but not limited to Exterior - curb appeal, grass/weeds, shrubbery, street-side appearance, signage, lighting, parking areas, vehicle presentation, pavilion, dumpster, trash/debris, brush line, tree line, mulch beds, rock beds, building exteriors, wasp nests/cobwebs, and sidewalks. Interior - floors, glass, bathrooms, ceiling/lighting, office organization, decor, furniture/appliance condition, shared use spaces, dorm rooms (per published guidelines), shower rooms, dorm leader rooms (exceeding published dorm guidelines), kitchens/pantries, closets, storage, and decking.
- Ensure "INSPECTION READY" documents, files, policies, procedures, and protocols for unannounced inspections by the Bessemer fire marshal, the health department, the City of Bessemer, Jefferson County building and code compliance, Apricot, The Foundry board of directors, chief officers, vendors, volunteers, ministry partners, and referring partners.
Qualifications and Education Requirements:
- Associate's or Bachelor's degree preferred.
- At least one (1) year of management experience.
- Functional knowledge of pastoral/clinical counseling, social services/case management, employment readiness/job placement, and advocacy/community engagement.
- Must be insurable by The Foundry's insurance carrier.
- Proficiency in Microsoft 365, MAC and Google applications, and client management software.
- Proficiency in creating and editing program documents.
