Job Summary:

The Program Assistant supports communication and program execution activities between the client and assigned customers to ensure customer requirements are met in accordance with contractual terms and conditions. This position assists Program Managers in managing day-to-day customer programs, including order management, delivery coordination, revenue support, issue resolution, and customer satisfaction. The Program Assistant works cross-functionally with internal teams to help ensure successful execution of customer programs from quote through delivery.

Responsibilities:

  • Coordinate Request for Quote (RFQ) activities, ensuring complete and accurate data packages are prepared and submitted.
  • Enter, manage, and maintain sales orders within ERP systems (e.g., Made2Manage).
  • Assist with updating production schedules and customer forecasts as needed.
  • Track excess and obsolete (E&O) material and support mitigation efforts.
  • Support compliance activities related to UPPVs, ITAR, AS9100 requirements, and first article submissions.
  • Collaborate with Planning and Production teams to support execution of customer sales orders and production schedules.
  • Work closely with technical, production, materials, and quality teams to help facilitate the build of customer products throughout the manufacturing process.
  • Prepare reports and participate in regular status reporting.
  • Assist with managing internal build priorities and supporting coordination with customer priorities.
  • Provide customers with timely and accurate production and order status updates.
  • Support assurance of on-time delivery in alignment with customer requirements and manufacturing capabilities.
  • Serve as a point of contact for customer inquiries related to order status and manufacturing progress, escalating issues as needed.
  • Support process readiness by participating in and helping coordinate effective internal and external meetings.
  • Perform program-related administrative tasks
  • Support tracking and reporting of customer satisfaction metrics, including price performance, on-time delivery, and quality performance.
  • Assist with timely identification, resolution, and escalation of issues to prevent delays or customer impact.
  • Assist with proper closure of customer-related accounts receivable issues.
  • Perform all other duties as assigned by the leadership

Qualifications:

  • Associated business, operations, or customer service experience required.
  • 3–5 years of experience in a manufacturing environment, with electronics contract manufacturing experience preferred.
  • Experience working with ERP/MRP systems and cross-functional manufacturing teams is a plus.
  • Strong organizational and administrative skills
  • Effective written and verbal communication
  • Ability to manage multiple priorities in a fast-paced environment
  • Customer-focused mindset with attention to detail
  • Proficiency with Microsoft Office tools
