Salary: $40,000 per annum

Essential Skills Manitoba is looking for a Programs Assistant who serves as a key point of contact for all staff and the public, providing administrative and reception support. This role helps ensure smooth program operations through scheduling, documentation, communication, data tracking, and welcoming and directing visitors.


Qualifications & Skills:

  • Completion of secondary school is required.
  • Completion of a one- or two-year college or other program for administrative assistants, or previous clerical experience, is required.
  • Valid First-Aid/CPR certification is required.
  • Demonstrates sound judgment and consistently applies critical thinking while working within established guidelines.
  • Demonstrates exceptional customer service with expertise in resolving concerns with professionalism.
  • Proficiency with computer software and office equipment.
  • Strong written and verbal communication skills.
  • Ability to prioritize, multitask, and manage competing deadlines.
  • Exceptional attention to detail.
  • Experience coordinating calendars and meetings.
  • Ability to work independently and as part of a team.
  • Flexible, adaptable, and comfortable in changing environments.
  • Organized and adheres to deadlines.
  • Demonstrated initiative and problem-solving skills.
  • Strong interpersonal and listening skills.
  • Ensures the process guide is consistently followed and that all tasks align with the guide.

Responsibilities

  • Deliver front-desk support by greeting and assisting visitors, staff and service providers with a warm and professional approach.
  • Be a positive and informed representative of the Organization.
  • Provide general office support by managing calls, voicemail, and emails while asking the right questions, directing messages promptly, and communicating clearly with referring partners and learners.
  • Check, follow, and manage the referral and registrant inboxes.
  • Keep learner information up to date, schedule and reschedule services as needed, and update learner files in internal databases.
  • Support the Organizations assessment framework by completing required administrative tasks.
  • Give bus tokens when needed, contact childcare providers as required, and keep the tracker updated.
  • Handle room booking requests for the Winnipeg office.
  • Provide backup for WEM services as required, including apprenticeship.
  • Provide backup support by coordinating hotel, flight, and car rental bookings across the province for staff and service providers, and manage office supply orders as needed.
  • Other duties as assigned.

The successful applicant will be based on-site in Winnipeg office.
