Essential Skills Manitoba is seeking a Programs Assistant to support smooth day‑to‑day operations by coordinating travel, managing office supply needs, maintaining accurate learner data, and delivering professional reception services. This role helps create an organized, efficient, and welcoming environment for staff, learners, and the public.


Qualifications & Skills:

  • Minimum of two years of relevant experience.
  • Proficiency with computer software and office equipment.

Responsibilities:


  • Be a positive and informed representative of the Organization.
  • Welcome visitors, staff, and service providers in a friendly and professional way.
  • Provide general office support by managing calls, voicemail, and emails while asking the right questions, directing messages promptly.
  • Book hotels, flights, and car rentals across the province for staff and service providers.
  • Order office supplies as needed and file invoices appropriately.
  • Perform weekly checks on office equipment (printers, postage machine) and supply cabinets to ensure they are stocked and functioning.
  • Monitor training area water bottle inventory and adjust the schedule when required.
  • Report any office appliance issues or maintenance needs to the supervisor.
  • Check the training area daily to ensure rooms are properly set up and ready for use.
  • Manage and fulfill printing requests for all regions as they come in.
  • Arrange courier or shipping services when required.
  • Prepare refreshments for training sessions as required.
  • Check the mailbox every day and distribute the mail.
  • Update learner information in database, especially when there is timeline indications.
  • Handle inventory management and tracking of ESM’s promotional supplies as needed.
  • Manage door system as required.
  • Load and unload the dishwasher each day.
  • Other duties as assigned.

 The successful applicant will be based on-site in Winnipeg office.
