We currently seek a full-time Program Assistant to join and support our Children, Youth and Family Services team! The Program Assistant provides administrative and general support to the Osborne Association’s Children, Youth and Family Services programs by providing office assistance and implementing administrative systems, procedures, and policies that support program participants and staff. Responsible for all ordering of materials, distribution of incentives, and working closely with the CYFS staff to maintain office flow. The Program Assistant also coordinates volunteer orientations and placement for the Loved Ones Link program. This position will work out of our Brooklyn office.


Salary Range: $25.44 - $26.07 per hour

Requirements:

Essential Duties

  • Greet individuals who are seeking assistance from Osborne programs.
  • Promotes a positive image of the organization through communicating Osborne Association’s mission and programs to a variety of audiences.
  • Maintains office workflow by implementing administrative systems, procedures, and policies that maximize the efficiency of office services and the quality of work products.
  • Streamlines the communication process among staff by preparing meeting agenda(s)
  • Supports program staff by conducting research, compiling information. Maintains a calendar of all upcoming CYFS events.
  • Maintains inventory and coordinates the ordering of office supplies, equipment, and financials according to internal procedures.
  • Functions as a Volunteer Coordinator for the Loved ones Link Program
  • Conduct interviews/orientation for volunteers and answer all questions involving our organization, goals, and their purpose within it
  • Coordinates with HR to facilitate background checks and completion of all required documentation
  • Schedules all volunteers to ensure adequate coverage
  • Maintains excellent records of volunteers and activities, as well as effectiveness
  • In-person attendance is required to collaborate with co-workers
  • This position is expected to work up to two evening shifts weekly
  • Perform other duties as assigned

Minimum Qualifications:

? High School Diploma or equivalent

? Experience connecting people to services, providing direct support to people with criminal justice involvement.

? Have a good understanding of systems and creating systems to maximize efficiency.

? Nonprofit experience is strongly preferred, with an understanding of the criminal justice environment, including mentorship or peer work


Key Competencies:

? Excellent interpersonal, communications and problem-solving skills are necessary.

? Ability to operate office equipment.

? Proficiency in MS Word, Excel, Google Suite and database management.

? Basic accounting knowledge.

? Demonstrated experience in problem-solving and the ability to work with a wide range of individuals and organizations.
