Job SummaryÂ
Join the Regional Food Bank of Oklahoma and help ensure older adults and families across our state have reliable access to nutritious food. As theSenior Programs Coordinator, you’ll assist key food assistance programs by coordinating daily operations, strengthening partner relationships and helping ensure services are delivered equitably and with care. You’ll help solve challenges like maintaining accurate records, keeping partners informed, creating smooth program deliveries and ensuring compliance with program guidelines. Success in your first 6–12 months means reliable schedules, exceptional partner communication, clean and accurate data and consistent program quality. If you enjoy staying organized, building relationships and fostering meaningful community work, this role is a great fit.Â
A Day in the LifeÂ
Program Coordination:Â
- Coordinate and oversee the Commodity Supplemental Food Program (CSFP) and Senior Congregate Program. Â
- Ensure the smooth operations of the programs.Â
- Maintain excellent relationships and communication with partners.Â
Compliance and Standards:Â
- Ensure compliance with Department of Human Services (DHS) and Regional Food Bank standards for the Commodity Supplemental Food Program and Senior Congregate Program.Â
- Work with partners to maintain 100% CSFP distribution.Â
- Aid in developing program strategies and plans.Â
- Accountable for training new program partners.Â
- Coordinate in-person and/or virtual training sessions for the program.Â
- Arrange DHS Civil Rights training for partners. Distribute program materials.Â
Monitoring and Evaluation:Â
- Conduct annual, bi-annual or as needed site visits to partner locations. Check compliance with Department of Human Services and the Regional Food Bank standards.
- Place internal monthly orders for program partners.Â
- Partner with operations to ensure quality control and inventory for commodity box programs.Â
Regulatory Updates:Â
- Stay informed about changes in federal regulations.Â
- Update program partners, policies and materials as needed.Â
Administrative Duties:Â
- Coordinate the creation of new program partner accounts in Navision.
- Establish delivery details between the departments involved.Â
Helpful Functions:Â
- Aid in research on senior food insecurity programs and services.
- Maintain involvement with appropriate senior-specific groups and organizations.
- Work with regional food pantries to improve services for seniors within the community.
- Assist with team projects as assigned.
- Promote senior programs at various community events.
- Program presentations to new partners and community groups as needed.Â
Cross Training & Team EngagementÂ
- Share best practices between Moore Food & Resource Center (FRC) and Food for Senior team to improve program delivery.Â
- Facilitate joint training sessions to ensure both teams comprehend each other's workflows and responsibilities.Â
- Develop & maintain mutual resources and toolkits for efficient case management and reporting.Â
Required QualificationsÂ
How you have spent your time:Â
- Earning a bachelor’s degree or gaining at least 4 years of relevant experience coordinating programs or equivalent combination of education, training and experience.Â

- Proficiency in common office applications and database software (e.g., Microsoft Office, CRM systems).Â
- Valid driver’s license with a driving record that meets organizational standards.Â
- Commitment to advancing the mission of ending hunger.Â

- Ability to complete a background check, motor vehicle record review, drug screening and physical assessment as required for the role.Â

Safety Sensitive DesignationÂ
This position is classified as Safety Sensitive under Oklahoma law. Employees in safety sensitive roles perform duties where even a momentary lapse in concentration could result in injury to themselves, others or cause environmental harm. The Regional Food Bank of Oklahoma is not permitted to hire applicants who hold a medical marijuana card for safety sensitive positions, in compliance with state law.Â

How you have spent your time:Â
- Working in a nonprofit environment or community focused organization focused on coordinating programs or a closely related field for at least 5 years.Â
- Proven experience as either a client or volunteer in a food pantry setting demonstrating direct knowledge of the services and operations involved.Â
- Solid comprehension of federal programming related to food assistance or similar initiatives.Â
Your EnvironmentÂ
Minimal exposure to extreme weather changes and humidity/moisture relative to atmospheric condition variations. Includes some exposure to extreme summer and winter temperatures as well as rain, sleet, and snow. Possible exposure to dust, chemicals, gases, fumes, smoke, excessive noise and/or vibrations. Work occasionally performed in an industrial environment with various hazards and noise exposure. May involve occasional travel (up to 25%) for meetings, training or assignments for up to one week per month, typically allowing return home nightly. The job also requires availability for rotating on call schedule, occasional unscheduled callouts and extended workdays and/or workweeks. Overtime, weekend and/or holiday hours may be required.Â
Physical DemandsÂ
Maintain a stationary position for extended periods while performing work in an office or vehicle setting. Operate vehicles safely by monitoring surroundings, reading signage and maintaining awareness of road conditions. Coordinate movements to manage vehicle controls and respond promptly to changes in traffic or environment. Perform tasks that involve coordination of multiple limbs and fine motor activities such as handling, grasping and maintaining steadiness for moving objects. Move objects weighing up to 10 pounds occasionally, which may include assisting with repositioning objects or yourself. Transition between stationary and other positions as needed during the workday. Access work areas and vehicles in a manner that aids job tasks, which may involve adjusting body position in limited spaces. Respond promptly to environmental cues and maintain focus during complex tasks. Auditory attention to recognize signals, alarms and spoken instructions that serve as key safety and maintenance indicators. Exchange information clearly in person or via devices in dynamic environments, including those with background noise. Maintain concentration and alertness for extended periods to ensure safety and task accuracy. Follow safety protocols, including wearing Personal Protective Equipment (PPE) when required by Environmental, Health and Safety policies.Â
