Job description

POSITION: Program Assistant - District Office and Special Service      CLOSING DATE: July 21, 2026
LOCATION: Christina Administration Office
REPORTS TO: Designated Administrator
 


Position Summary: This position will serve as a cross-functional floater, providing administrative support to District Office departments and Special Education Services as operational needs arise. The successful candidate will possess strong organizational, communication, and customer service skills and demonstrate the flexibility to support multiple departments while delivering accurate, efficient, and confidential administrative services.
The job responsibilities listed below represent the full scope of duties that may be assigned to the incumbent during the contract period. These responsibilities are intended to describe the range of work that may be performed and should not be interpreted to mean that all duties will be performed on a daily basis. Assignments will vary based on departmental needs and operational priorities.


QUALIFICATIONS:

  •  High school diploma or GED required.
  • Five years of related secretarial, administrative support, or office management experience, or an equivalent combination of education and experience.
  • Experience supporting public school operations or educational programs preferred.
  • Experience supporting Special Education Services or a district office environment preferred.
  • Demonstrates a good attendance record.
  • Demonstrates effective written and verbal communication skills.
  • Ability to collaborate effectively with district staff, school personnel, families, and external agencies.
  • Ability to make sound decisions, prioritize multiple assignments, work under pressure, and exercise good judgment.
  • Ability to understand and appropriately respond to requests under the Delaware Freedom of Information Act (FOIA).
  • Ability to consistently apply district policies, procedures, and applicable federal and state regulations.
  • Proficiency with Microsoft Office applications and the Google Workspace platform.
  • Knowledge of office procedures, records management, and administrative practices.
  • Ability to organize workload and meet deadlines with minimal supervision.
  • Ability to work effectively with a diverse population while maintaining professionalism, tact, and confidentiality

RESPONSIBILITIES:

Primary (Always)

  • Serve as a cross-functional administrative floater, providing support to District Office departments and Special Education Services based on operational priorities.
  • Coordinate and respond to Freedom of Information Act (FOIA) requests by gathering, reviewing, organizing, maintaining, and archiving records in accordance with District policy and Delaware law.
  • Maintain accurate records, files, and documentation in accordance with district procedures and applicable regulations.

Secondary (As Assigned)

  • Provide administrative coverage for departmental staff during absences, vacancies, or periods of increased workload.
  • Provide administrative support to Special Services, including maintaining confidential student records, preparing reports, and assisting with compliance documentation.
  • Assist with the preparation, distribution, and organization of special education documentation, correspondence, and required notices.
  • Support district office operations by preparing reports, correspondence, presentations, spreadsheets, and other administrative documents.
  • Maintain electronic and paper filing systems while ensuring the confidentiality and security of district and student information.
  • Generate reports and maintain information using district software systems and office technology.
  • Collaborate with district administrators, school staff, families, and outside agencies to support departmental operations and provide quality customer service.
  • Develop and maintain procedures, forms, and documentation that improve operational efficiency and ensure consistent administrative practices.
  • Cross-train in multiple district office functions to ensure continuity of operations and provide support where needed.
  • Perform other related tasks and assume other related responsibilities as assigned

SALARY:                        Commensurate with appropriate schedule: Effective Nov 2025
