What are Program Assistant Remote positions?

Program Assistant Remote positions involve providing administrative and organizational support to programs or projects from a remote location. Duties often include scheduling meetings, managing correspondence, maintaining records, and assisting with project coordination. These roles require strong communication, time management, and computer skills, as much of the work is done online. Remote Program Assistants work for a variety of organizations, such as non-profits, educational institutions, and businesses, helping teams stay organized and efficient without being physically present in the office.

What are the key skills and qualifications needed to thrive as a Program Assistant Remote, and why are they important?

To thrive as a Program Assistant Remote, you need strong organizational skills, attention to detail, and proficiency in administrative tasks, often supported by an associate’s or bachelor’s degree. Familiarity with remote collaboration tools like Microsoft Office Suite, Zoom, and project management platforms such as Asana or Trello is typically required. Excellent communication, time management, and problem-solving abilities help you excel in a distributed work environment. These skills are crucial for ensuring seamless program operations, efficient support to teams, and effective coordination across remote settings.

The main difference between a Program Assistant Remote and a Program Coordinator Remote lies in their responsibilities and experience levels. Program Assistants typically handle administrative support and basic tasks, requiring less experience, while Program Coordinators oversee program implementation and require more experience and coordination skills. Both roles are often remote and used across similar industries, but the Coordinator role generally involves more responsibility and leadership.

What are some common challenges faced by Program Assistants working remotely, and how can they be effectively managed?

Program Assistants working remotely often face challenges such as maintaining clear communication with team members, managing multiple priorities without face-to-face oversight, and staying organized across digital platforms. To manage these challenges, it’s important to establish regular check-ins with supervisors and colleagues, use project management tools to track tasks, and set up a dedicated workspace to minimize distractions. Proactive communication and strong time-management skills are key to thriving in a remote environment and ensuring program objectives are met efficiently.

Who We Are

We are an award-winning independent creative solutions company that aspires to be the most culturally-influential company in the world. We help ambitious brands harness the power of culture to solve their biggest challenges. As a unique mix of experts in culture, technology, and storytelling, we are united by a passion to grow brands in ways that advertising alone can never do.

We are an entrepreneurial business - not a traditional "ad agency." That means we value resourcefulness and tenacity just as much as we value creativity and intelligence. We're unapologetically ambitious!

We are looking for a Program Manager to join Translation!

This role is based in Brooklyn, New York with four days in-office and one day remote.

What You'll Do
  • Own the how. Develop scopes, timelines, budgets and delivery systems for programs ranging from complex to "simple." Don't assume one size fits all.
  • Coordinate internal and external meetings throughout the lifecycle of the program, and maintain close coordination with key stakeholders, including Business Leadership and Production.
  • Deliver strategic and creative deliverables directly to day to day clients. Own contact reports, internally and back to the client.
  • Manage talent allocations week over week. Work with the Group Engagement Director and Business Leadership to ensure programs are planned to achieve successful completion, including coming in on time and on budget.
  • Coordinate internal teams, ensure high quality delivery, and manage back to overarching strategy of the engagement.
  • Develop a strong understanding of client's business and industry, key competitors, and audience demographics.
  • Help maintain integrated ways of working by reinforcing team processes and managing documentation and communications.
Knowledge, Skills and Abilities
  • A proactive, hands-on mentality. You take immense pride in your work. You're results-driven and detail-oriented, but also passionate about people, culture, and creativity.
  • Excellent written and verbal communication skills, with the ability to present ideas clearly, accurately, and succinctly.
  • Stellar time management and organizational skills, able to juggle multiple priorities under tight deadlines without sacrificing quality.
  • Thick-skinned, persistent, and diplomatic-you handle challenges with optimism and a solutions-oriented mindset.
  • Comfortable navigating across multiple internal disciplines (creative, production, strategy) and external partners to keep projects moving forward.
  • An understanding of when to escalate challenges and opportunities to the appropriate leads.
Minimum Qualifications
  • 3+ years of experience in a creative agency or similar communications environment, with a strong understanding of advertising, marketing, media, production, and agency finance.
  • Familiarity with the lifecycle of integrated campaigns across broadcast, digital, experiential and/or social.
  • Experience supporting or leading calls with cross-functional agency teams and interfacing directly with clients.
  • Fluent in Google Suite (especially Sheets and Slides); experience with resource management or workforce planning, as well as project planning tools.
  • Strong curiosity with a strong desire to learn and engage AI tools.
Preferred Qualifications
  • Experience directly managing timelines and deliverables for creative and production workstreams.

Salary Hiring Range: $70,000 - $90,000

Our salary ranges are based on paying competitively for our size and industry, and are one part of many compensation, benefits and other reward opportunities we provide (e.g. bonus, stock options, 401(k) match, etc.)

Individual pay rate decisions are based on a number of factors, including qualifications for the role, experience level, skillset, and balancing internal equity relative to peers at the company.  We expect the majority of the candidates who are offered roles at our company to fall healthily throughout the range based on these factors.

The range above is for the expectations as laid out in the job description, however we are often open to a wide variety of profiles, and recognize that the person we hire may be less experienced (or more senior) than this job description as posted.  If that ends up being the case, the updated salary range will be communicated with you as a candidate.

The salary range above is for the NY/CA.  As a company, we have a location based strategy, which means the salary range could be lower or higher than this if the role is hired in another location.
