Job Description:

The Spare Parts Operations Manager leads the Spare Parts team to deliver fast, consistent, and accurate support for customers and internal teams. This role owns systems, data integrity, and process governance for parts operations, while driving revenue growth, margin improvement, and continuous improvement initiatives.

Job Duties & Responsibilities:

  • Oversee quoting, order entry, pricing, and fulfillment processes
  • Maintain ERP and CRM accuracy; publish dashboards for visibility
  • Develop SOPs and audit compliance regularly
  • Collaborate cross-functionally to ensure alignment on parts specifications and availability
  • Drive change management and communication that sustains standards and accountability

KRA # 1 Customer Response and Consistency

  • Develop and maintain SLA standards for quotes and order entry
  • Ensure consistent pricing and communication across all customer touchpoints
  • Coach team on tone, clarity, and follow-through

KRA # 2 Systems and Data Quality

  • Govern parts master data, naming conventions, and documentation
  • Eliminate duplicates and obsolete records; maintain revision accuracy
  • Standardized documentation storage and controls

KRA # 3 Revenue and Margin Growth

  • Implement pricing strategies and discount guardrails
  • Drive conversion of spare parts lists into kits and bundled offers
  • Build and manage repeatable quoting processes

KRA # 4 Inventory and Fulfillment

  • Improve fill rate and on-time delivery through planning and supplier coordination
  • Optimize buy/build decisions and expedite processes
  • Collaborate with Logistics for shipping accuracy

KRA # 5 Team Leadership and Continuous Improvement

  • Coach and develop team members; set clear goals and KPIs
  • Build onboarding and training programs for role-specific competencies
  • Lead CI projects to reduce quote cycle time and improve process efficiency

Qualifications:

  • 5+ years in spare parts, aftermarket, or service operations; 3+ years in leadership
  • ERP/CRM proficiency (Epicor, Salesforce preferred)
  • Strong analytical and process improvement skills
