Job Overview
The Production Operations Specialist will report to the Production Operations team and support the management of operational plans and logistics for the Macy's Thanksgiving Day Parade and other iconic Macy's events.
What You Will Do
  • Manage aspects of the Macy's Thanksgiving Day Parade event production such as vendor bookings, security planning, permitting needs, timeline and production schedule development.
  • Support the management of various budgets for the production- research various vendors and negotiate prices, partner with Legal and/or Procurement teams on vendor contracts, write POs, update budget spreadsheets, and track invoice collection.
  • Develop detailed operational timelines, production schedules, and site plans in partnership with all necessary stakeholders to be distributed both internally and externally.
  • Manage aspects of permitting process and agency coordination for events with various coordinating city and federal agencies including NYC CECM, NYPD, DOT, DOB, FDNY, FBI, etc.; serve as primary point of contact for agency partners and prepare documents, permits, and necessary production schedules and presentations for agency review and approval.
  • Develop staffing plans for production and oversee day-of support crew in onsite operations including event setup, crowd control management, event breakdown and pack up.
  • Lead operational area of the Parade on day-of with limited oversight.
  • Support database and record management for volunteer and production timelines as needed.
  • Support event ticketing and credential strategies for allocations, printing and distribution as needed.
  • Attend and manage a variety of ancillary events and meetings that support key productions including but not limited to rehearsals, on-site walk throughs, trainings, volunteer meetings, etc. that may take place on nights/ weekends.
  • Provide general support during events (crowd control, lifting and moving barricades, creating and setting signage, staff and crew support).
  • Assist in production of other Macy's Studios events as needed.
  • Foster an environment of acceptance and respect that strengthens relationships, and ensures authentic connections with colleagues, customers, and communities.
  • In addition to the essential duties mentioned above, other duties may be assigned.

Who You Are
Education/Experience
  • Bachelor's Degree in related field.
  • 5+ years in a management role in event production.
  • Production Management experience a plus.
  • Experience in New York City event production and agency coordination a plus.

Communication Skills
  • Excellent communication skills.
  • Excellent customer service, interpersonal, communication and organizational skills.

Mathematical Skills
  • Basic math functions such as addition, subtraction, multiplication and division.

Reasoning Ability
  • Ability to multitask and work cross functionally with multiple business partners.
  • Must have the ability to work independently with minimal supervision.
  • Must be able to multitask in a fast paced environment.
  • Present a professional image consistent with Macy's brand values.
  • Maintains data entry requirements by following data program techniques and procedures.

Other Skills
  • Computer competency.
  • Phone etiquette.
  • Airtable or other database experience are a plus.

Work Hours
  • Flexible with scheduling and available to work retail hours which may include day, evening, weekends and/or holidays.
  • Must be available to work flexible and extended work hours the month of November; must be available to work all of Thanksgiving week.

Essential Physical Demands
  • Ability to lift up to 35 lbs.
  • Prolonged standing.
