Job description

Job Title: Logistics Coordinator

Job Description: Handles shipments for customers, from the planning stage to the actual movement; performs delivery follow-up. The job will address both domestic and international shipments while ensuring compliance with import/export regulations.

Duties/Responsibilities:
  • Revise shipment instructions and quote once received and request information missing if needed.
  • Create shipper, consignee, and vendor in the system.
  • Collect payment if customer is PIA or COD.
  • Schedule daily pickups with several vendors.
  • Revise shipment documentation and confirm that cargo and commercial invoice or packing list match.
  • Request to commercial support quote once the CSA receives the pre alert from WCA/Agents
  • Revise consignment instructions when providing services to WCA.
  • Request Electronic Export Declaration authorization to customer and shipper.
  • Filling AES if shipment value is over $2,500
  • Request bookings as needed.
  • Send loading plans with booking and instructions to the warehouse.
  • Revise WHR and identify cargo if needed.
  • Send OHR to customer as needed and requested depending on the account.
  • Generate shipment documentation and send pre alert the ocean and airline, broker, and customers from CW1. (AWB, MBL, HBL, Delivery Order, Pickup Orders, Pre alerts, AN)
  • Follow up until cargo arrives to destination and keep the customer updated.
  • Notifies the customer on shipment delays and updates related the shipment
  • Open consol for all shipments.
  • Update milestones.
  • Attached shipment documentation on eDocs accordingly.
  • Request interchange to vendors that provide drayage service to confirm charges as chassis and demurrages.
  • Request invoice to vendor as needed to avoid discrepancies.
  • Invoice shipments or provide cost sheet to billing clerk.
  • Attached POD to CW
  • Respond emails on a timely matter.
  • Respond to discrepancies on a timely matter.
  • Open disputes with vendors.
  • Hacienda transmission of domestic shipments.
  • Follow up with customer storage charges if applicable.
  • Notify volume changes to direct supervisor and sales representative.
  • Notify the customer/sales representative short or damages cargo upon arrival.
  • Notify cargo damage to claims department with corresponding backup.
  • Revise carrier BOL’s once the cargo is delivered or picked up to report shortage or damages.
  • Responsible to manage several on hand reports.
  • Report and document any irregularities to Supervisor immediately.

Education and Experience:

  • At least 1 year of Logistics or freight forwarding experience is required.
  • At least 1 year of direct customer service experience.
  • At least 1 year of experience in logistics and supply chain management software (Magaya, Qwyk, and Simpliship preferred).
  • A college degree is not required but preferred.
Requires/ Skills/Abilities:
  • Excellent communication skills, both written and verbal in English (required) and Spanish (preferred, but not required).
  • Good management and organizational skills.
  • Strong problem-solving skills.
  • Able to collaborate in a team-oriented environment.
  • Multi-tasking abilities.
  • Able to work under pressure.
