Job description

FLSA Status: Nonexempt

This is a demanding and fast moving position that requires someone who is a proactive and positive thinker, and able to exercise good judgment and initiative while working with a high volume production slate. The ideal candidate is an experienced project coordinator, friendly, loves talking to people and loves finding solutions. Is highly organized but flexible, able to keep up with the details and many steps of each project but flexible to accept last minute changes. If you do not enjoy juggling several projects at one time or high stress problem solving, this is not the job for you.
Works with production company representatives and coordinates approvals from City and County personnel for parking, street closures, special effects; fire, police, monitor assignments, and any other issues relative to the filming location.

This position will be performed remotely. There may be occasions when staff will be required to visit FilmLA's home office. These could include, but are not limited to, important meetings, training, or company events.

Responsibilities:

  • Reviews assigned permit applications.
  • Determines actions needed in order to secure location and approvals.
  • Works with City and County agencies to request street closures, crew parking, special effects, etc.
  • Determines the need for special conditions, and requirements for assigning on site Monitors.
  • Helps resolve/mitigate complaints from residents and merchants caused by the filming activity in their areas.
  • Attends community meetings and spot checks locations in order to become educated in particular neighborhood needs and restrictions and to establish solutions to ongoing issues.
  • Ability to work on call (on a rotation basis) for after hours emergencies, community concerns and verbal approvals.
  • Ability to respond to assigned on call coordinator after hours for important, timely or urgent matters as needed.
  • Other job related duties as assigned.

Requirements:

  • A two-year college degree or job specific skills acquired through on‐the‐job training.
  • Three to five years of customer service and project coordination, or similar experience.
  • Experienced in MS Office products.
  • Must be able to work under pressure in a fast paced environment.
  • Excellent verbal and written communication skills.
  • Ability to multi-task and prioritize in a fast paced environment. Must be able to organize and schedule work effectively and adapt to changing priorities.
  • Ability to read and interpret documents such as procedure manuals.
  • Ability to write reports and correspondence.
  • Ability to be discrete and maintain confidential information.
  • Good knowledge of the City of Los Angeles and the Unincorporated County a plus.
  • Provide proof of COVID-19 vaccination upon hire.

FilmLA is a private, 501(c)4 not-for-profit organization established for the public benefit. We coordinate and process permits for on-location motion picture, television and commercial production under contract to an ever-increasing roster of public-sector clients in the Los Angeles region. All permits are issued by the authority of and in accordance with the policies of each client jurisdiction.
We function differently than the typical film office or film commission. Most such entities are publicly-funded government agencies focused on promoting their regions to the film industry. FilmLA was created when the City and County of Los Angeles decided to privatize their film permit offices, allowing more flexibility in providing services to production companies and local communities.
Although FilmLA is funded primarily by permit coordination fees paid by production companies, ongoing community relations is a key component of the service we provide. We work to strike a balance between the needs and interests of the entertainment industry and the neighborhoods affected by on-location production.
