Position Summary:
The PA1 primarily assists the broker team in meeting their day-to-day technical and clerical needs by servicing active and expired policy files; all in accordance with established Brown & Riding values, goals, and procedures.
Essential Functions:
  • Meet quality measurement goals and procedures by following Quality Management System (QMS) standards.
  • Follow up for subjectivities and any other post-binding requirements issued by the carrier.
  • Ensure agency management files are fully documented as required by the company's QMS procedures.
  • Relay requests for additional information from a licensed team member to a retailer.
  • Produce and email renewal letters requesting completed applications for insurance coverage for transmittal to a licensed team member for processing.
  • When initiated by a retail agent, communicate to obtain factual information necessary for a licensed team member to complete a review or give a response (so long as there is no discussion relating to the terms of insurance, the insurance contract, coverage, or pricing).
  • Record the responses of a retailer to questions on an application for insurance (so long as there is no conversation related to the terms of insurance or a contract and the completed application is given to a licensed insurance producer to review).
  • Receive telephone calls reporting additional or replacement items (vehicles, property, drivers) for policies currently in force to be provided to a licensed team member for review.
  • Assist licensed team members with setup of market submissions by compiling information and applications provided by the retailer, but not including the act of submitting to market or negotiation of terms.
  • Relay a retailer's written bind request to a market/carrier after being instructed to do so in writing by a licensed team member. The licensed team member must be included/Cc'd on the request to the market/carrier.

  • Prepare Quotes for release (input quote details into agency management system, outline binding subjectivities, update market responses in the market portal). Negotiation of quote terms and the release of quotes to retailer must be done by a licensed team member.
  • At the direction of a licensed team member, process and release of Confirmation of Coverages after receiving market/carrier binders - a licensed team member must be included (Cc'd) when sending Confirmation of Coverage to retailer. The act of requesting coverage bound with a market/carrier must be done by a licensed team member.
  • Transmit policies issued by markets/carriers to retailers.
  • Follow up for pending endorsements, review their accuracy upon receipt, invoice, and transmit to retailer - a licensed team member must be included (Cc'd) when sending endorsements to retailer.
  • Manage and maintain follow up tasks (pending Items that we are waiting for from retailers and carriers), including following up on items and escalating unresolved issues to a licensed team member when appropriate.
  • Ensure Surplus Line documents are submitted correctly and on time.

Other Responsibilities:
  • Work to obtain property & casualty license and surplus lines license as required by state (required prior to marketing accounts or discussing insurance/coverage related issues with retailers).
  • Open, distribute, scan, and file mail, as needed.
  • Assist Accounting with reconciling account specific billing questions or discrepancies.
  • Work closely with Broker in identifying projects where skills, experience, and knowledge can be utilized effectively.
  • Perform other work-related duties as assigned by broker and/or management.
  • Pursue educational opportunities to expand insurance knowledge.

Education, Experience and Skills Required:
  • No prior insurance experience required.
  • Strong organization, follow-up, communication, and interpersonal skills.
  • Demonstrate analytical skills to accurately define problems, gather and interpret relevant data, establish key facts, and draw well-founded conclusions efficiently.
  • Proactive approach to problem-solving, exhibiting good listening skills and a willingness to support others.
  • Intermediate skill level in PC software (Word, Excel and other software, as required).
  • Ability to be flexible in work schedule, as needed.
  • Manages time to get the job done.
  • Able to effectively interact with and adapt to diverse personality and communication styles.
