JOB SUMMARY:
The Accounts Payable amp; Procurement Assistant provides administrative and operational support for the Bank’s accounts payable and centralized procurement functions. The position assists with processing invoices and payments, maintaining account payable records, ordering and distributing supplies, maintaining inventory, and supporting vendor-related activities. The Accounts Payable amp; Procurement Assistant works closely with the Accounts Payable amp; Procurement Coordinator to ensure expenses are processed accurately and timely and Bank locations have the supplies necessary for efficient operations.
PRIMARY RESPONSIBILITIES AND DUTIES:
  • Checks with the Accounts Payable amp; Procurement Coordinator for daily work assignments and priorities.
  • Reviewing invoices for required approval signatures and supporting documentation prior to processing.
  • Inputs approved invoices into QuickBooks for payment accurately and timely.
  • Submits completed invoice entries to the Accounts Payable amp; Procurement Coordinator for review and verification of accuracy.
  • Prints checks following review and approval of entered invoice information.
  • Provides printed checks and supporting documentation to the Accounts Payable amp; Procurement Coordinator for review and signature.
  • Assembles signed checks and appropriate documentation for mailing and distribution.
  • Posts processed payments to TMS in accordance with established procedures.
  • Organizes and files invoices, payment documentation, and other accounts payable records as required.
  • Maintains accurate and orderly accounts payable documentation to support internal controls, audits, and recordkeeping requirements.
  • Reviews supply order requests received from Bank locations and departments.
  • Fulfills supply requests from available stock room inventory.
  • Provides requests for supplies not currently in inventory to the Accounts Payable amp; Procurement Coordinator for review and ordering.
  • Assists with receiving and moving newly delivered supplies to the appropriate storage areas.
  • Assists with organizing supplies and maintaining an orderly, clean, and functional supply room.
  • Monitors supply inventory while fulfilling requests and communicates low or unavailable inventory to the Accounts Payable amp; Procurement Coordinator.
  • Assists with preparing and distributing supply orders to Bank locations and departments.
  • Follows established accounts payable, procurement, approval, and internal control procedures.
  • Maintains confidentiality of Bank, vendor, employee, and financial information.
  • Provides additional support to the Accounts Payable amp; Procurement Coordinator and Accounting Dept. as needed.
  • Performs additional duties and responsibilities as assigned.
REQUIRED SKILLS:
  • Strong attention to detail with the ability to perform data entry accurately.
  • Strong organizational skills and ability to maintain accurate and orderly records.
  • Ability to follow established procedures, instructions, and internal controls.
  • Ability to prioritize assigned responsibilities and complete work within established deadlines.
  • Basic understanding of accounts payable and invoice processing preferred.
  • Basic computer proficiency, including Microsoft Office applications.
  • Ability to learn and effectively use QuickBooks, TMS, and other Bank systems applicable for the position.
  • Ability to identify missing information, approvals, or discrepancies and appropriately escalate concerns.
  • Effective verbal and written communication skills.
  • Ability to work effectively with employees throughout the Bank.
  • Ability to maintain confidential and sensitive information.
  • Dependable and able to perform routine responsibilities consistently and accurately.
  • Ability to work independently on assigned tasks while functioning effectively as part of a team.
QUALIFICATIONS:
  • High School Diploma or equivalent required.
  • Previous administrative, accounts payable, accounting, banking, or related experience preferred.
  • Previous experience with data entry, invoice processing, or financial recordkeeping preferred.
  • Experience using QuickBooks or similar accounting software preferred.
WORKING CONDITIONS AND PHYSICAL DEMANDS:
  • Full-time position during regular Bank business hours. Full-time employees generally are regularly scheduled between 37-40 hours weekly. Additional hours may be required based on workload, deadlines, or other business needs.
  • Occasional travel between locations may be required to support accounts payable, supply distribution, or other departmental needs.
  • Work is performed primarily in a professional office and supply room environment.
  • Frequent use of a computer, calculator, telephone, copier, scanner, and other standard office equipment.
  • Regular handling of invoices, checks, financial records, office supplies, and other Bank materials.
  • Regular interaction with Accounting personnel and employees throughout the Bank.
  • Work involves a combination of computer-based administrative duties and physical supply management responsibilities.
  • Work requires the ability to complete recurring responsibilities accurately and within established deadlines.
  • Prolonged periods of sitting while performing computer, data entry, and administrative work.
  • Frequent use of hands and fingers to operate a keyboard, mouse, calculator, and other office equipment.
  • Frequent viewing of computer screens, invoices, checks, and other written documents.
  • Regular standing and walking when fulfilling, receiving, organizing, and distributing supplies.
  • Regular bending, reaching, stooping, and lifting when accessing and organizing supply inventory.
  • Ability to push or pull carts or other equipment used to transport supplies.
  • Ability to lift and carry boxes, office supplies, files, and other materials weighing up to 25 pounds.
  • Ability to move throughout the office and supply storage areas as necessary to perform assigned responsibilities.
