Position Overview
We are seeking a motivated, detail-oriented Title Processor Assistant to join our growing team.
This role works directly alongside our Senior Processor and Title Attorney, supporting residential real estate transactions from file opening through post-closing. While this position begins as a support role, it offers the opportunity to gradually take on additional responsibilities as your knowledge and experience grow.

While prior title experience is not required, candidates with previous exposure to the real estate, title, mortgage, escrow, legal, or closing industries are strongly preferred. We are looking for someone who is familiar with the terminology and general flow of a real estate transaction and is excited to continue building their career in the industry.

Key Responsibilities
Transaction Support
- Assist the Senior Processor and Title Attorney with residential real estate transactions from opening through post-closing.
- Support multiple files simultaneously while maintaining accuracy and organization.
- Monitor file progress and assist in meeting contractual deadlines.
- Request and organize documentation needed to move transactions forward.
- Learn every stage of the residential closing process while gradually taking on additional responsibilities.
File Opening & Document Processing
- Open and organize new files in Qualia.
- Review purchase contracts and supporting documentation.
- Order title searches, lien searches, tax information, municipal searches, and other closing-related services.
- Research county property records, deeds, tax receipts, parcel information, and other public records.
- Verify legal descriptions, property information, and transaction details.
- Prepare and organize closing documents and post-closing packages.
- Assist with title policy preparation, document recording, and file completion.
Client Service & Communication
- Communicate professionally with buyers, sellers, Realtors, lenders, attorneys, underwriters, and vendors.
- Respond promptly to incoming phone calls and emails.
- Maintain clear communication throughout transactions.
- Build positive relationships with clients and referral partners.
Administrative Support
- Support daily office operations.
- Maintain organized electronic files and document management systems.
- Assist with scheduling, workflow organization, and administrative projects.
Learning & Professional Development
- Receive hands-on training throughout every stage of the residential real estate closing process.
- Learn Qualia title management software and internal workflows.
- Cross-train across multiple areas of the business.
- Gradually assume greater responsibility as experience develops.
Qualifications
Required
- High school diploma or equivalent.
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Outlook, and Excel).
- Ability to prioritize multiple tasks in a fast-paced environment.
- Strong work ethic and willingness to learn.
- Professional, dependable, and team-oriented.
Preferred
- Previous experience in a title company, mortgage company, real estate office, escrow company, real estate law firm, or other real estate transaction environment.
- Familiarity with residential real estate transactions, industry terminology, and the general closing process.
- Experience with Qualia or other title management software.
- Understanding of title insurance, escrow, or closing documentation.
- Bilingual (English/Spanish) preferred.
