JOB SUMMARY:

The Executive Assistant provides high-level administrative support to senior leadership, ensuring smooth day-to-day operations and enabling the executive to focus on strategic priorities. This role requires exceptional organizational skills, sound judgment, and the ability to anticipate needs in a fast-paced environment. This is a part-time role with expected hours of 9am-2pm EST. Flexibility for quarterly Board Meetings after 2pm preferred.


QUALIFICATIONS:

· Bachelor’s degree in Business Administration or related field preferred (or equivalent experience)

· Experience supporting senior executives in a corporate environment

· Advanced proficiency in Microsoft Office Suite and enterprise productivity tools

· Exceptional written and verbal communication skills

· Strong organizational skills with the ability to manage multiple priorities under tight deadlines

· Demonstrated ability to exercise sound judgment and maintain confidentiality

· Professional presence and strong interpersonal skills

· High level of discretion, integrity, and reliability

· Ability to work independently with minimal supervision

· Strong analytical and problem-solving capabilities

· Adaptability in a dynamic, fast-paced corporate environment

· Experience interacting with high dollar donors is plus


JOB FUNCTIONS:

C-Suite Support

· Manage complex calendars, schedule meetings and coordinate appointments

· Prepare internal and external correspondence on behalf of executives

· Organize travel including itineraries, accommodations, and logistics

· Process expense reports for executives and related organizations

· General CEO support, follow-ups, and continuity

Board & Governance Support

· Managing board and committee communications, including distribution of materials and correspondence

· Scheduling quarterly board meetings, committee sessions, and preparatory calls

· Supporting agenda development in collaboration with executive leadership and committee chairs

· Preparing, formatting, and refining PowerPoint presentations and related board materials

· Providing live meeting support, including presenting slides and managing logistics during board and committee meetings

· Recording, drafting, and finalizing accurate and timely meeting minutes

· Maintaining organized document storage systems, ensuring version control and historical

recordkeeping

· Tracking board and committee membership, terms, and related governance documentation


This role is intended to be flexible and adaptive. Any and all duties as assigned over time may be required to support organizational needs.
