Compensation: $24-$27 per hour
Employment Type: Full-Time, Hybrid
Schedule: Monday-Friday with alternating weekend coverage as needed. Must have flexibility to work evenings and weekends based on operational needs.
New York State Solar is seeking a highly organized, detail-oriented, and adaptable Processing Associate to join our growing Operations team. This role is responsible for supporting critical administrative and operational functions throughout the solar project lifecycle, including contract generation, financing documentation, utility interconnection support, and operational processing coordination.
This position plays a key role in ensuring projects move efficiently from contract through installation by maintaining operational accuracy, supporting internal teams, and delivering a seamless customer experience.
Duties & Responsibilities:
As a Processing Associate, you will:
• Generate, review, and process customer contracts, home improvement agreements, and service agreements accurately and efficiently
• Create and maintain operational templates, documentation, and standardized processing materials
• Prepare and process financing applications, utility interconnection documentation, and related project paperwork
• Assist with Department of Buildings (DOB) permitting documentation and submission support
• Prepare roofing documentation and generate roof quotes with a high degree of accuracy and organization
• Ensure all operational documents are complete, compliant, and properly maintained within company systems
• Perform quality control (QC) reviews on contracts, documentation, and team processing work to ensure accuracy and consistency
• Update and maintain project management systems and internal databases with accurate project information and status updates
• Collaborate closely with Operations, Sales, Accounting, Field, and Office teams to ensure project information is communicated accurately and efficiently
• Support operational workflow changes and project updates in a dynamic environment with evolving priorities
• Identify missing information, documentation discrepancies, or process issues and escalate appropriately for resolution
• Serve as a liaison between internal departments to ensure smooth coordination throughout the solar project lifecycle
• Assist with operational coordination efforts to help ensure projects remain on track for installation timelines
• Adapt quickly to shifting operational priorities and support team needs as business demands evolve
Job Requirements:
• Bachelor's Degree or equivalent professional experience in project coordination, operations, processing, administration, or a related field preferred
• 1-3 years of experience in processing, project coordination, administrative operations, or customer support preferred
• Experience within the solar, roofing, construction, permitting, or renewable energy industries is a plus
• Strong organizational skills with the ability to multitask and manage high-volume workflows in a fast-paced environment
• Exceptional attention to detail and accuracy when handling contracts, financing applications, permitting documentation, and operational records
• Excellent written and verbal communication skills with the ability to collaborate cross-functionally across Management, Sales, Accounting, Operations, Field, and Office teams
• Strong problem-solving and critical thinking abilities, with the capability to identify discrepancies and resolve issues proactively
• Ability to perform quality control (QC) reviews and maintain consistency across operational documentation and workflows
• Proficiency in Microsoft Office Suite, Google Workspace, and project management/database systems
• Ability to work independently while maintaining accountability, productivity, and deadline adherence
• Strong time management skills with the ability to prioritize tasks effectively in a high-volume operational environment
• Passion for renewable energy and delivering an exceptional customer experience is preferred
