Job description

We are seeking a friendly, organized, and customer-service-focused Administrative Assistant on a temporary basis to support a great organization in San Juan Capistrano. This position will provide general clerical and administrative support while serving as a key point of contact for visitors and callers. The ideal candidate is professional, dependable, comfortable interacting with the public, and able to assist with a variety of day-to-day office needs. Bilingual Spanish/English skills are highly preferred.


Key Responsibilities

  • Answer incoming phone calls, respond to general inquiries, take messages, and direct callers as needed.
  • Provide front-counter customer service and assist visitors with questions and general information.
  • Provide administrative and clerical support to department management and staff.
  • Create and update flyers and other basic materials for upcoming programs and events.
  • Assist with data entry, document preparation, filing, scanning, and general office organization.
  • Use basic computer programs and Microsoft Office applications to complete daily administrative tasks.
  • Provide light invoice-related support, including organizing and routing invoices for processing.
  • Assist with special projects and other administrative duties as assigned.


Qualifications

  • Previous administrative, clerical, receptionist, or customer service experience preferred.
  • Bilingual Spanish/English highly preferred.
  • Strong customer service and interpersonal skills with the ability to communicate professionally with the public.
  • Comfortable assisting customers both in person and over the phone.
