Job description

Job Summary:  

The Shipping Clerk is responsible for ensuring the accurate and efficient preparation, documentation, and dispatch of outgoing orders. This role supports the customer experience by maintaining high standards in packaging, quality control, and timely delivery, while also assisting with inventory, field maintenance, and special product handling such as rose petal preservation. The position works closely with multiple departments to coordinate logistics, manage supplies, and uphold compliance standards. This role requires strong attention to detail, organizational skills, and a proactive approach to problem-solving and continuous improvement. 

Key Responsibilities 

Order Fulfillment & Accuracy 

  • Accurately pack and prepare orders for shipment according to company procedures and customer specifications.  
  • Collaborate with the Production Manager to resolve technical, quality, or interpersonal issues that may impact order processing.  
  • Assist with pulling additional items for shipping to ensure all components are complete and ready. 

Documentation & Compliance 

  • Prepare and verify shipping documents, including packing lists, invoices, and labels, ensuring accuracy and compliance with company policies.  
  • Ensure adherence to all shipping regulations and internal safety protocols.  
  • Maintain accurate records of shipments, returns, and inventory adjustments, and provide reports to management as needed. 

Inventory & Supplies Management 

  • Monitor inventory levels of shipping-related materials (e.g., boxes, packing supplies, permits) and report needs promptly and regularly.  
  • Maintain and report maintenance and supply needs for the shipping building, breakroom, restroom, and related areas. 

Quality Control & Customer Satisfaction 

  • Inspect shipments to ensure secure packaging and product quality, including plant health, to minimize damage and ensure customer satisfaction.  
  • Collaborate with Customer Service Specialist to address shipping inquiries and resolve issues efficiently, example: incorrect address. 

Field & Production Support 

  • Assist with general upkeep, weed pulling, and plant care in growing fields as needed.  
  • Participate in rose petal harvesting and preservation, ensuring optimal timing and adherence to quality standards. 

Process Improvement 

  • Participate in continuous improvement initiatives to enhance shipping processes, reduce errors, and increase efficiency. 

Qualifications: 

  • High school diploma or equivalent (Required) 
  • Additional training in logistics or supply chain management is a plus. (Preferred) 
  • Proven experience in a shipping, warehouse, or inventory management role, preferably in an agricultural or production environment. (Preferred)  
  • Strong organizational skills and attention to detail 
  • Ability to work in a team environment 
  • Proficiency in using shipping software and warehouse management systems. (Preferred) 
  • Basic computer skills, including familiarity with Microsoft Office (Excel, Word, Outlook). 
  • Experience or willingness to work in a growing field, including harvesting and preserving plant materials. 
  • Excellent communication skills, both written and verbal. 
  • Ability to work independently and as part of a team in a fast-paced environment. 
  • Physical ability to lift and move heavy packages (up to 50lbs) as required. 
  • Bi-lingual is preferred. 

Working Conditions: 

  • Ability to work in a warehouse, shipping environment, and outdoor fields with exposure to varying temperatures and conditions. 
  • Ability to stand, walk, lift, and perform physical tasks for extended periods.
