UNIVERSITY OF ILLINOIS FOUNDATION has an immediate opening for a Project Coordinator.


The University of Illinois Foundation (Foundation) is the official fundraising and private gift-receiving organization of the University of Illinois (University). It works closely with alumni and friends, faculty and staff, corporations and foundations, as well as campus development professionals to create fundraising programs and opportunities that benefit the University. 


This position performs professional-level duties supporting project management, portfolio management, and technology governance activities. Provides coordination and operational support for project intake, prioritization, portfolio reporting, governance committees, project execution, stakeholder communications, and continuous process improvement initiatives.


DUTIES & RESPONSIBILITIES: 


1. Coordinates, documents, and ensures completion of action items related to governance and planning initiatives and activities for the Foundation and related entities. This includes preparing reports, presentations, and other specialized communications and documents.

2. Responsible for activities related to planning committee and unit meetings, projects, and special events. Provides coordination to ensure all aspects of meetings related to project, portfolio, governance, and data delivery initiatives are organized and conducted to maximize results. Compiles and maintains committee documentation, documents meeting agendas and minutes, assists in completing action items, verifies completion of deliverables and next steps, and works proactively to resolve issues in a timely manner.

3. Work closely with Project Managers to manage assigned IT projects to ensure adherence to budget, schedule, and scope of project.

4. Develop work plans, schedules, project estimates, resource plans, and status reports under the guidance of a senior project manager. 

5. Coordinate and facilitate project team meetings.  Communicate progress with project stakeholders, program leads, and management at key review points.

6. Assist with the collection and analysis of project performance including performance against budget, scope, project objectives, and customer satisfaction. 

7. Facilitate the usage of project and resource management software across the organization.

8. May serve as the lead coordinator for small to medium-sized projects, or projects with limited complexity, including responsibility for project planning, meeting facilitation, stakeholder communications, schedule management, status reporting, and coordination of project activities under the guidance of PMO leadership.


REQUIRED QUALIFICATIONS:

Bachelor's degree or equivalent work experience

Strong time management skills, with the ability to manage multiple tasks and objectives.

At least two years of experience supporting project management, governance, business operations, portfolio management, or planning and coordination activities.

Experienced and articulate communication skills (oral and written).

Demonstrated organizational and multi-tasking skills to provide accurate, detail-oriented work.

Considerable experience with MS Office (Word, Excel, PowerPoint, Visio).

Demonstrated ability to facilitate meetings, coordinate cross-functional teams, track action items, and maintain detailed project and governance documentation


PREFERRED QUALIFICATIONS:

Experience designing and creating recurring standard reports for management.

Experience supporting project management offices (PMO), project portfolio management, governance programs, or technology initiatives

Thorough understanding of information technology procedures and practices.

Familiarity with project management methodologies.

Experience with project intake, prioritization processes, portfolio reporting, and governance committee support

The starting salary range for this position is projected to be $55,000-$65,000 per year. This is a salaried exempt role. While our job postings include salary ranges, your compensation will be based on your specific experience and qualifications-we're not limited by these posted ranges.
