Job description

POSITION SUMMARY
 
The Project Administrator reports to the Project Manager and is responsible for office support, accounting administration, and reporting necessary to keep all projects running smoothly. Working with all project teams and accounting staff, they will assist with project reporting and have main responsibilities for weekly field payroll processing.
 
RESPONSIBILITIES
 
Accounting Administration
  • Process weekly field craft payroll for multiple states.
  • Process layoff and missed time entries for field payroll.
  • Process & setup of new hire trade employees.
  • E-Verify / I9 processing for new employees.
  • Process project labor reporting as required by owner contracts through multiple sites.
  • Certified Payroll reporting through multiple sites for multiple states and projects.
  • Assist Project staff with accounting and maintenance of cost reports.
  • Field employee expense report processing.
  • Weekly project allocations.
  • Monthly close processes & reporting.
  • Accounts Payable functions and reporting.
  • Additional duties assigned by Director of Project Accounting.
Office Support
  • Answer/direct incoming calls and take messages, as necessary.
  • Mail distribution.
  • Maintain filing systems.
  • Assist Staff in project closeout responsibilities, including archiving of files.
  • Become familiar with and utilize Field and Job Cost Procedures.
  • Accounts Payable for G&A accounts & statement reviews.
  • Cross train on additional roles to relieve and assist peers.
  • Other tasks and duties as assigned.
QUALIFICATIONS
  • Clerical/administrative/payroll experience, preferably in the construction industry.
  • Must have excellent computer skills and be able to demonstrate proficiency with MS Office products (Word, Excel, PowerPoint, etc.) typing 50+WPM.
  • Must be able to work in a fast-paced office environment, able to multitask, meet critical deadlines with an eye for accuracy and attention to details.
  • Ability to work with all levels of project staff and organization.
  • Experience with HCSS, CMiC and SuccessFactors a plus.
