Position Summary
The Contracts Coordinator provides essential administrative and operational support for the Contract Services team. This entry-to-mid-level role assists with the preparation, review, and maintenance of customer contracts and pricing agreements across a variety of customer types, including GPOs, IDNs, hospitals, surgery centers, and distributors. The coordinator ensures accuracy and consistency in documentation, system entry, and customer eligibility alignment to support timely and compliant contract execution.
Principal Responsibilities
Contract Preparation & Administration
• Assist with the creation and formatting of customer contracts and pricing templates based on approved terms.
• Enter and update contract terms, pricing details, and customer information into contract management systems (e.g., SAP, Salesforce, Vistex).
• Track contract milestones, effective dates, and expiration timelines to support renewals and amendments.
Data & Documentation Management
• Maintain accurate and complete electronic records for all customer contracts, pricing approvals, and supporting documentation.
• Organize and file digital documentation in accordance with audit and compliance standards.
• Assist in preparing audit response packages and collecting documentation as needed.
Customer Eligibility & Roster Support
• Support the validation of customer eligibility against membership rosters and contract terms.
• Assist in reconciling discrepancies related to customer IDs, affiliations, or pricing eligibility under supervision.
Cross-Functional Support
• Coordinate with internal teams (Pricing, Membership, Chargebacks, Customer Service, Sales) to obtain necessary inputs or resolve contract-related issues.
• Respond to field sales team inquiries regarding contract status, documentation needs, or pricing terms with oversight from the Supervisor.
Education / Experience Requirements
• Associate or Bachelor's degree in Business, Healthcare Administration, or a related field preferred.
• 1-3 years of experience in an administrative, operations, or commercial support role; experience in contracts or pricing a plus.
• Strong attention to detail, organization, and time management.
• Proficiency in Microsoft Office (Word, Excel, Outlook); experience with SAP, Salesforce, Vistex, or other ERP/CRM systems is a plus.
• Effective written and verbal communication skills.
• Ability to work independently and within a team in a deadline-driven environment.
Specialized Skills / Other Requirements
• Familiarity with healthcare contracts, GPOs, or distributor relationships.
• Knowledge of contract lifecycle or pricing operations in a regulated environment.
• Exposure to data entry, workflow tools, or shared service environments.
