Job Summary
Xavier University of Louisiana is accepting applications for the open position of Premed Advisor. This position is responsible for providing support to the Director of the Premedical Program in the management of the Premedical Office and the implementation of activities designed to increase the number of Xavier students who gain admission into medical, dental, veterinary, optometry, podiatry, physician assistant, and other types of health professions schools and related biomedical science programs. The Premedical Advisor reports to the Director of the Premedical Program, who is supervised by the Dean of the College of Arts and Sciences. AA/EOE
Minimum Qualifications
  • Bachelor's degree in a biological science, psychology, counseling/mental health, or related education discipline.
  • At least one (1) year of experience providing academic advising, health career counseling, and/or professional/graduate school application support to students preferably enrolled in undergraduate studies or professional/graduate school.
  • Excellent written and verbal communication skills.
  • Ability to communicate clearly and effectively in both group and individual settings.
  • Ability to offer thorough and constructive feedback on application components for summer programs, health professions schools, etc. and mock interviews.
  • Develop and implement educational and enrichment programming to reinforce advising activities that prepare students for application to health professions schools.
  • Strong interpersonal skills for engagement with students, faculty, staff, etc.
  • Candidate must be proficient in multitasking and possess the ability to prioritize work and perform duties with minimal supervision.
  • Candidate must be punctual and professional at all times.
  • Proficiency in MS Office (Word, Excel, PowerPoint, etc.), Adobe Professional, various data management software (e.g. FileMakerPro), Banner, and other University interfaces.
  • Ability to utilize the World Wide Web accordingly, send and receive email messages (including attachments), and utilize other mechanisms necessary to effectively execute Premedical Office tasks is required.
  • Must be able to effectively utilize both PC and Macintosh platforms.

Preferred Qualifications
  • Master's degree in a biological science, psychology, counseling/mental health, or related education discipline.
  • At least two (2) years of experience providing academic and/or health professions school application guidance to undergraduate students enrolled in pre-health coursework.
  • Licensure in a counseling/mental health field.

Special Requirements Summary
Evenings and weekends may be required. It may be necessary to perform some Premedical Office work duties outside of the Premedical Office. Some travel required.

Essential Duties and Responsibilities

  • Works jointly with the Director of the Premedical Program and other personnel in the Premedical Office to plan and implement activities to assist Xavier students seeking entry into schools of medicine, osteopathic medicine, dentistry, veterinary medicine, optometry, and podiatry (MODVOP) and other types of health professions (HP) schools and related biomedical science programs.
  • Distributes information to students regarding summer programs, internships, research positions, etc. which will enhance their ability to gain entry into health professions schools.
  • Conducts a series of strategically scheduled individual meetings, based on HP school entry year, with students under the advisement of the Director.
  • Conducts targeted group meetings based on HP school entry year, and special topics related to preparing HP school applications under the advisement of the Director.
  • Critiques draft application components (e.g. personal statement, post-secondary experiences form, etc.) and provides detailed feedback in a timely fashion.
  • Supervises student workers who provide peer feedback on application components.
  • Conducts mock interviews for health professions schools and related biomedical science programs.
  • Processes and stores letters of evaluation that are sent to the Premedical Office by evaluators in support of students' applications to summer programs, early admissions programs, HP schools, etc.
  • Transmits filed letters of evaluation via mail, fax, email, or online evaluation system as requested by students.
  • Determines membership eligibility for Alpha Epsilon Delta Premedical Honor Society and select students for invitation to the society during spring semester.
  • Advises Alpha Epsilon Delta Premedical Honor Society and manages the chapter's administrative business.
  • Assists with organizing the induction ceremony for Alpha Epsilon Delta Premedical Honor Society.
  • Assists with application preparation and nomination review for early assurance and other partnership programs.
  • Provides extensive assistance to students during the HP school application cycles that generally begin May 1st and continue through the fall and spring semesters.
  • Maintains relationships with representatives from health professions schools to stay abreast of issues that may affect matriculation into and/or retention at health professions schools.
  • Attends workshops or conferences that would assist in advancing the goals of the Premedical Program (time and resource permitting, as deemed appropriate by the Director of the Premedical Program and other personnel in the Premedical Office).
  • Prepares and/or presents information regarding Xavier's Premedical Program to representatives from other colleges or universities who request such information (time and resource permitting, as deemed appropriate by the Director of the Premedical Program).
  • Maintains membership in National Association of Advisors for the Health Professions (NAAHP).
  • Attends University meetings, as deemed appropriate by the Director of the Premedical Program.
  • Represents the Premedical Office at recruitment fairs and other events deemed appropriate by the Director of the Premedical Program.
  • Remains up to date in regard to the central application services for health professions schools, admission requirements, changes in the admissions tests, changes in procedures for submitting secondary applications, etc.
  • Assists, in a timely fashion, students, faculty, and staff who visit, call, and/or send email/mail correspondence to the Premedical Office.
  • Assists, in a timely fashion, non-Xavier faculty, staff, and other individuals who seek out the advice of the Premedical Office in person, by phone, or by email.
  • Prepares and sends information via email and/or mail to students in a timely fashion.
  • Facilitates on-campus arrangements for professional school representatives who visit Xavier, publicize their visits, etc.
  • Secures rooms/space through the University's events management portal for various premed-related activities such as group meetings, recruitment visits, and MCAT review courses.
  • Coordinates room/space set-up through the University's system for premed-related activities.
  • Maintains a calendar of premed activities.
  • Prepares signage and other correspondence to advertise premed-related activities or events to students via email and/or mail on a weekly basis.
  • Prepares premed workshop materials, information forwarded by recruiters, and other premed-related documents readily available to students in the Premedical Office.
  • Works jointly with the Director of the Premedical Program to hire staff and/or student workers.
  • Initiates requisitions and Electronic Personnel Action Forms (EPAFs) for student workers and staff, where applicable.
  • Assists with supervising student workers and/or staff in the Premedical Office as deemed appropriate by the Director of the Premedical Program.
  • Works jointly with other personnel in the Premedical Office to perform additional duties as needed (e.g. answering phones, responding to emails, etc.).
