This is more than a traditional office manager role. We're looking for a leader who can drive operational excellence, coach and develop teams, improve workflows, solve problems before they become barriers, and create an outstanding patient and employee experience. The ideal candidate thinks like a business leader—balancing patient care, financial performance, quality, staffing, and growth while building a culture of accountability and continuous improvement.

What You'll DoOperational Leadership
  • Lead the day-to-day operations of a busy primary care practice.
  • Ensure efficient patient flow, provider productivity, and operational consistency.
  • Monitor key performance indicators (KPIs) and implement action plans to improve performance.
  • Identify operational bottlenecks and implement sustainable process improvements.
  • Ensure clinic readiness, staffing, supplies, equipment, and workflows support high-quality patient care.
  • Drive accountability for operational excellence, patient satisfaction, and financial performance.
Staff Leadership & Development
  • Recruit, interview, onboard, coach, and retain high-performing clinical and administrative staff.
  • Conduct regular performance reviews, coaching sessions, and development planning.
  • Foster a culture of accountability, teamwork, professionalism, and continuous improvement.
  • Mentor supervisors, leads, and future leaders within the clinic.
  • Manage staffing schedules, attendance, productivity, and performance expectations.
Patient Experience

Continuous Improvement
  • Identify opportunities to improve workflows, reduce waste, and increase efficiency.
  • Lead implementation of new operational initiatives and process improvements.
  • Collaborate with corporate departments on technology rollouts, workflow enhancements, and organizational projects.
  • Utilize data and reporting to make informed operational decisions.
Collaboration & Leadership
  • Partner closely with providers, Business Administrators, Operations leadership, Clinical leadership, Revenue Cycle, Human Resources, and other shared services.
  • Build strong relationships that support clinic success.
  • Serve as the operational leader responsible for the overall success of the practice.

What You BringRequired Qualifications
  • 3+ years of healthcare operations leadership experience in a primary care, multi-specialty, or outpatient setting.
  • Demonstrated success leading clinical and administrative teams.
  • Experience managing clinic operations, staffing, patient flow, scheduling, and financial performance.
  • Strong understanding of operational metrics, provider productivity, and workflow optimization.
  • Experience implementing process improvements and driving operational change.
  • Excellent leadership, coaching, conflict resolution, and decision-making skills.
  • Strong communication, organizational, and problem-solving abilities.
  • Proficiency with Electronic Health Records (EHRs) and Microsoft Office.
Preferred Qualifications
  • Bachelor's degree in Healthcare Administration, Business Administration, or a related field.
  • Experience with Athenahealth EHR.
  • Experience leading high-volume, multi-provider practices.
  • Lean, Six Sigma, or Continuous Improvement experience is a plus.
