Description:

The Practice Manager, under the direction of the President/COO, plays an essential leadership role in overseeing the daily operations of the practice. This role is responsible for ensuring efficient, high-quality patient flow; managing staff; maintaining compliance with federal, state (Arizona), and organizational regulations; overseeing financial and operational performance; and fostering a positive, patient-centered environment.

Key areas of responsibility include staff leadership, scheduling and workflow oversight, operational efficiency, financial performance management, vendor coordination, compliance adherence, and ensuring exceptional patient service across the practice.

Requirements:

Education and Experience

• Bachelor’s degree in healthcare administration, business, management, or related field (or equivalent experience).
• 5+ years of medical practice or healthcare operations experience, including at least 2 years in a supervisory or management role.
• Strong communication and leadership abilities.
• Experience with electronic medical record (EMR) systems; experience with Athenaone preferred.
• Prior experience in a multispecialty or specialty practice setting preferred

Cardiology experience required

JOB KNOWLEDGE:

The Practice Manager must:

• Have a strong working knowledge of healthcare operations, scheduling, revenue cycle workflows, and patient services.
• Understand Arizona healthcare regulatory requirements, including HIPAA, OSHA, and payer expectations.
• Be proficient in staff management, including hiring, training, coaching, and performance improvement.
• Demonstrate strong analytical skills to interpret operational data, KPI tracking, and productivity trends.
• Possess knowledge of insurance verification, prior authorization workflows, and claims escalation processes.
• Understand budgeting, expense management, and daily financial balancing processes.
• Demonstrate strong decision-making skills and operate independently with minimal supervision.
• Communicate effectively with providers, clinical staff, administrative personnel, and external partners.
• Build collaborative and positive working relationships across all team levels.
• Prioritize effectively and work calmly in a dynamic, fast-paced practice environment.
• Maintain confidentiality of patient, employee, and organizational information.

ESSENTIAL DUTIES:

• Direct, coordinate, and oversee daily practice operations ensuring efficient patient flow and superior patient experience.
• Supervise front office, clinical support, and administrative staff; manage scheduling and staffing levels to meet practice needs.
• Ensure compliance with all regulatory requirements including HIPAA, OSHA, CMS guidelines, and state of Arizona healthcare regulations.
• Monitor key operational metrics including patient wait times, scheduling accuracy, provider productivity, and staff performance.
• Oversee patient scheduling processes, template management, and optimization of provider calendars.
• Manage financial tasks including daily deposits, charge capture accuracy, petty cash, and supply expense controls.
• Collaborate with billing/revenue cycle teams to resolve denials, improve front-end accuracy, and maintain clean claim workflows.
• Lead onboarding, training, mentoring, and performance evaluations for practice staff.
• Maintain strong internal controls and ensure adherence to organizational policies and procedures.
• Participate in development and management of practice budgets and operational plans.
• Coordinate with vendors, service providers, and facility management teams to ensure seamless operations.
• Manage and escalate patient concerns and service issues; implement process improvements to enhance experience and efficiency.
• Participate in or lead special projects, operational initiatives, and process improvement efforts.
• Demonstrate leadership, professionalism, and excellent judgment in all interactions.
