Job description

Position Title: Travel Clerk III
Division: Potawatomi Training
Location: Anniston, AL
Compensation Plan: SCA
Employment Class: Full Time-Regular
Position Summary
The Travel Clerk III is responsible for coordinating and securing travel itineraries, add vouchers for reimbursement, and arrangements for all students attending training at the Center for Domestic Preparedness (CDP) and the Noble Training Facility (NTF).
Essential Duties & Responsibilities
โ€ข Prepares and place orders for tickets through National Travel. Verifies all ticket information and files appropriately. Reroute to stay within FED travel regs, time requirements, costing, mileage
โ€ข Receives and verifies invoices, in order to determine exact ticket costs, reconcile ticket cost for each class
โ€ข Creates travel authorizations for each student receiving training. Prepares supporting documentation, and makes changes as required submitting those document in a timely manner to Team Lead for verification
โ€ข Creates travel vouchers for each student requesting travel reimbursement. Prepares and presents travel briefings to students to explain in detail, completion of the travel voucher, and the process to submit receipts. Gathers and organizes, verifies all documentation to support proper reimbursement within federal reimbursement guidelines
โ€ข Provides students with all necessary documents to prepare for training, including flight itinerary, using the Student Portal and when necessary, email. Uses email and student portal to communicate with student to complete the voucher/reimbursement process.
โ€ข Prepares and completes training reconciliations for each class verifying charges in travel management to match with received invoices. Reports to Team Lead/Asst Team in a timely manner for final class credit card reconciliation to be completed.
โ€ข Prepares and submits final class documents to verify total numbers.
โ€ข Maintains and updates class board, on daily a basis, with current training calendar information
โ€ข Accommodate a flexible work schedule to include weekends and evenings, to conduct in-processing briefing...add duties of inprocessing clerk
โ€ข Other duties as assigned
Education, Certification & Experience Requirements
โ€ข High school graduate or GED equivalent required
Knowledge/Skills/Abilities
โ€ข Advanced training and/or certification in computer software applications to include Microsoft Office (i.e., Word, Excel, Access)
โ€ข Perform detailed tasks under time constraints, while maintaining an organized and clean workspace
โ€ข Must possess and exhibit excellent oral and written communication skills
โ€ข Be able to lift up to 50 lbs.
