Police Records Specialist

The Police Records Specialist is under general supervision and performs a variety of routine and complex administrative duties which support the police records and administrative functions related to the effective operation of the Police Department.

Essential duties, knowledge, skills, and abilities include:

  • Employee possesses the knowledge, skills, and abilities to perform all the essential duties of the job safely and satisfactorily, including, but not limited to municipal governance, teamwork, problem-solving, relationship-building, customer service, detail oriented, technology/equipment proficiency, policy adherence, time management, result-orientation, research and analyzing data, decision-making, self-motivation, stewardship, integrity, and upholding our EDGE core values.
  • Ability to listen to, read, understand, and communicate the English language both orally and in writing so others can understand, such as correspondence, report writing, and emails.
  • To support consistent high-quality service for our community and each other, it is the expectation of all employees to be punctual and have good attendance and to communicate effectively for scheduling conflicts or when taking leave according to city policy.
  • Performs a wide variety of complex document and records management duties related to confidential police reports, law enforcement records, court requirements, police records and case files.
  • Provides administrative support in assigned area of responsibility, including preparation of confidential correspondence to various agencies, processes incoming and outgoing mail, maintains e-subpoena.
  • Provides administrative support to Command Staff, including calendar management, meeting note preparation, memo preparation, phone message management, and other duties as needed. Enters various information into computer system including summons, traffic accidents and pawn tickets; enters and processes information as it pertains to CCIC/NCIC and NIBRS.
  • Knowledgeable about and able to work with the current budget, payroll, and scheduling software and processes.
  • Performs a variety of document management duties related to confidential police reports, law enforcement records, court requirements, police records, and case files. Ensures those records adhere to state and federal rules and regulations and reporting requirements are met.
  • Uses radio, computer, and other appropriate equipment to communicate information to officers in the field.
  • Specific working knowledge and management of the in-house report management system (RMS) and records management law.
  • Processes requests for Body Worn Camera footage to include completing necessary redactions. Creates, updates, scans, and approves case reports and files.
  • Performs various tasks related to police administration including finger printing, maintenance of statistical data relating to criminal, traffic, and officer activities as well as sex offender database, website, calendar, and online map. Create computer forms and or documents. Testify in court as required.
  • Completes report writing for lost and found property and other cold reports as assigned or needed.
  • Complete background checks for all local, state, and national administrative and investigative personnel.
  • Schedules and arranges payment for all departmental staff training.
  • Maintain and purchase supplies, develop purchase orders, and may assist with the quartermaster program.
  • Coordinate and oversee volunteer program, schedule, and assign work, may train, and monitor productivity.
  • Processes digital file requests.
  • Extracts requested data from RMS and Computer Aided Dispatch files.
  • Creates correspondence related to Liquor License Renewals.
  • Provides status of vehicles for Bill of Sales for towing company.
  • Knowledge of Police records, electronic databases and information systems.
  • Knowledge of applicable laws, regulations, policies, and procedures relating to sex offender registration requirements, handling evidence, public records, and confidentiality of law enforcement records.
  • As a member of the City of Evans team, employees are privileged to serve each other and the community; therefore, will be asked to perform additional duties as assigned.

Education, experience, and licensure:

  • High School diploma or equivalent; equivalent combinations of education and experience may be considered.
  • Four years of customer service or administrative support experience
  • Valid Colorado Driver's License or ability to obtain within six months of hire.

Preferred:

  • Bilingual in English and Spanish.
  • Experience in public/municipal sector.
  • Colorado Crime Information Center (CCIC) Certification.
  • College education with special emphasis in police administration or related fields.

Physical and working environment:

While performing the duties of this job, the employee is required to sit for prolonged periods. The employee is regularly required to exercise visual concentration, listen, talk, stand, reach, twist, and demonstrate manual dexterity. The employee is required to focus attention on tasks without losing concentration or becoming distracted by surrounding activities and interruptions. The employee is also required to kneel, squat, stoop, push, pull, and lift up to 25 pounds on an occasional basis. Work is generally performed in an office setting.
