Job description

We are seeking a detail-oriented and proactive PMO Administrator to support the Project Management Office by coordinating project governance, portfolio reporting, process improvement, and cross-functional collaboration. This role owns the story leadership sees: translating project, portfolio, and software implementation data into clear, executive-ready dashboards and insights that drive informed business decisions across the firm. The ideal candidate will play a key role in ensuring project visibility, maintaining PMO standards, and delivering high-quality, decision-ready reporting on all aspects of professional services and PMO performance.

Location:

  • Hybrid: Three days per week (Tuesday, Wednesday and Thursday) in-office in Long Beach, CA.
  • Remote work from home on Mondays and Fridays.
  • Ability to work flexible hours when needed to accommodate traveling for marketing events.

About the Role - Key Responsibilities:

  • Support the planning, coordination, and administration of project and program portfolios across multiple project teams
  • Develop and maintain templates for project documentation, governance frameworks, standard operating procedures (SOPs), and PMO best practices
  • Design, build, and maintain executive-ready dashboards covering revenue, forecast accuracy, utilization, margin, delivery health, and project risk across the professional services and PMO portfolio
  • Present dashboard insights and key performance indicators (KPIs) directly to executive leadership on a recurring cadence, providing real-time project and business visibility
  • Continuously refine reporting and dashboards based on leadership feedback and evolving business priorities
  • Track and report on software implementation timelines, milestones, and support escalations to give leadership a unified view of the full customer delivery lifecycle
  • Onboard new projects into Laserfiche
  • Partner with business leaders to define project milestones, budgets, resource plans, and success metrics for strategic initiatives
  • Identify opportunities to improve PMO processes, streamline workflows, and implement best practices that enhance operational efficiency
  • Support the implementation, administration, and continuous improvement of project management and business systems
  • Serve as a subject matter expert (SME) for PMO tools, providing guidance, training, and process documentation to end users
  • Ensure projects comply with organizational governance, reporting standards, and established PMO methodologies by conducting required audits
  • Create invoice requests at various intervals (monthly, milestone, down payments) 

About You - Essential Qualifications:

  • 2–5+ years of experience in PMO or business operations, project coordination and business analysis
  • Strong proficiency with MS Suite - Word, PowerPoint, Excel (PivotTables, XLOOKUP/VLOOKUP, Power Query, dashboards)
  • Working knowledge of Salesforce CRM (reports, dashboards, data management, workflow support)
  • Demonstrated proficiency with reporting and visualization tools such as Microsoft Power BI or Tableau, with a portfolio or work sample of executive dashboards preferred
  • Understanding of PMO governance, project lifecycle, risk management, project scheduling and budgeting, scope management, change management, Standard Operating Procedures (SOPs)
  • Experience with project management tools such as Microsoft Project, Azure DevOps etc.
  • Strong verbal and visual communication skills, with experience presenting data-driven insights to senior leadership and stakeholders

The salary range varies, and pay is based on several factors including but not limited to education, certifications (if applicable), candidate’s geographic region, job-related knowledge, skills and years of experience amongst other factors. 

  • Salary range from $28.85/hr - $37.50/hr
