SCOPE OF POSITION

Sixense Solutions Canada Ltd. (“Sixense”) is creating a new position for an Office Manager to support daily operations and strengthen overall organizational efficiency. The Office Manager is a key contributor to both corporate functions and project‑driven field teams, ensuring smooth office operations, consistent application of HR policies, and accurate administrative and financial coordination. This role works closely with leadership and project teams to maintain effective workflows and support Sixense’s instrumentation and monitoring (I&M) activities.

LOCATION: This is full-time in-office position, located in Bothell, Washington.

Tasks and Responsibilities:

Office & Operational Administration

  • Manage day‑to‑day office operations to ensure an organized and productive workspace for technical, operational, and project teams.
  • Coordinate facility needs including office access, equipment maintenance, and workspace layout adjustments to support staffing changes.
  • Maintain office supplies, vehicle records/gas cards, and vendor/service‑provider relationships.
  • Coordinate travel arrangements and accommodations for employees.
  • Provide general administrative support to management, Project Managers, and technical employees.
  • Coordinate internal events, meetings, lunch‑and‑learns, and culture‑building activities.
  • Assist leadership with special projects, workflow improvements, and operational initiatives.

Human Resources Administration

  • Review with HR to ensuring proper documentation has been completed, system access and equipment have been ordered.
  • Support HR and organization‑wide employee communications.
  • Work with HR to distribute internal policies as needed,
  • Support the relocation of expatriate employees while ensuring compliance with company expat policies and Canadian immigration rules and processes.
  • Advise employees to contact HR with benefit and legal questions.

Financial Administration

  • Process accounts payable invoices.
  • Ensure timely approvals and accurate entry of invoices.
  • Manage vendor communications and resolve disputes.
  • Reconcile monthly vendor statements.
  • Prepare weekly pay-run worksheets and execute payment runs.
  • Oversee credit card statement processing.
  • Generate and record customer invoices and accompanying waivers.
  • Process and reconcile customer payments and transactions.
  • Maintain accurate customer records and distribute monthly statements.
  • Provide invoicing support to internal and external clients.
  • Complete prequalification and vendor information requests.
  • Manage certified payroll reporting with support of Controller.

Skills

  • Strong organizational and administrative skills, particularly within multi‑project or technical environments.
  • Experience with HR administration, employment documentation, and policy management.
  • Proficiency in MS Office Suite (Excel, Word, Outlook, PowerPoint).
  • Knowledge of HRIS platforms or payroll systems.
  • Strong understanding of AP/AR processes and financial record‑keeping.
  • Exceptional attention to detail and accuracy in documentation and compliance tasks.
  • Strong written and verbal communication skills.
  • Ability to manage confidential information with discretion and professionalism.
  • Customer service-oriented mindset with a proactive, problem‑solving approach.
  • Ability to manage multiple tasks, shifting priorities, and deadlines.

Qualifications

  • Post‑secondary education in business administration, human resources, accounting, or a related field.
  • 3–5 years of experience in an administrative or office management role.
  • Experience in the geotechnical engineering or instrumentation & monitoring industry is a strong asset.
  • Previous experience with Oracle is considered an asset
  • Previous experience supporting policy development, process improvements, or internal audit preparation.
  • Experience supporting technical teams or field operations.


Salary Range: $60,000-75,000
