The Role

We’re seeking an Operations Specialist who will play a critical role in delivering a high-touch, seamless client experience. This position serves as the primary service and relationship contact for a designated group of clients while also providing cross-coverage support to ensure continuity of service across the firm.
This role coordinates all aspects of client onboarding, ongoing service delivery, workflow intake, document management, and client communications. The Operations Specialist also leads intake and management of incoming communications through the firm’s shared inbox and main office phone line, supports custodial and operational requests, contributes to company brand support activities, and assists internal leaders with documentation and project tracking.

Key Responsibilities

Client Onboarding & Relationship Support
  • Serve as the primary point of contact for designated client inquiries providing proactive, timely, and professional client support
  • Coordinate new client onboarding, including account opening, documentation, and custodian setup
  • Schedule client meetings and support meeting preparation
  • Draft and distribute client communications, including agendas, follow-ups, service updates, and regulatory notices
Operational & Custodial Support
  • Process account maintenance requests, including address changes, beneficiary updates, and money movements
  • Liaise with custodians and vendors to resolve account or service issues
  • Maintain accurate and up-to-date client records in CRM and portfolio management systems
  • Monitor workflows to ensure timely completion and compliance alignment
Internal & Brand Support
  • Support internal leaders with documentation, meeting notes, and project tracking
  • Assist with firm branding efforts, including coordination with design vendors and maintenance of client-facing materials
  • Assist with vault organization and compliance-aligned document management practices
What You Bring
  • Bachelor’s degree in Business, Finance, or a related field - or equivalent relevant experience
  • 2–4 years of experience in client service, operations, or financial services support preferred
  • Strong organizational skills with exceptional attention to detail
  • Polished written and verbal communication skills
  • Ability to manage multiple priorities with accuracy and follow-through
  • Proficiency with Microsoft Office and comfort using CRM platforms, document storage systems, and communication tools
  • Commitment to confidentiality, professionalism, and client service excellence
  • Comfort operating in a regulated, high-accountability environment
