Position Summary

Public Safety Financial a division of Modern Wealth Management, is seeking an organized and detail-oriented Operations Specialist to support the day-to-day operational execution of the PSF team. This role is responsible for ensuring accuracy, consistency, and timeliness across client onboarding, account maintenance, operational workflows, and advisor support activities.

The Operations Specialist plays a critical role in maintaining efficient operations so Advisors and Client Service teams can focus on delivering exceptional service to public safety professionals. The ideal candidate is highly organized, comfortable working across multiple systems, and able to manage competing priorities in a fast-paced, regulated environment.

Key Responsibilities Operational & Administrative Support
  • Support daily operational workflows, including account openings, asset movements, service requests, and internal processing activities.
  • Prepare and review paperwork to ensure accuracy, completeness, and compliance prior to submission.
  • Monitor operational requests and follow up with internal teams, custodians, and vendors as needed to ensure timely completion.
  • Maintain accurate records and documentation in accordance with firm policies and regulatory requirements.
  • Partner closely with Advisors and Client Service Associates to execute client-related operational tasks.
  • Assist with onboarding new clients by coordinating required documentation and internal approvals.
  • Research and resolve operational issues, escalating complex matters when appropriate.
  • Ensure timely follow-through and communication regarding client service requests and operational inquiries.
Process, Compliance & Quality Control
  • Ensure operational activities align with firm policies, compliance requirements, and PSF standards.
  • Identify opportunities to improve efficiency, accuracy, and workflow effectiveness.
  • Participate in operational audits, reviews, and quality assurance initiatives as requested.
  • Assist in documenting procedures and maintaining operational best practices.
Systems & Workflow Management
  • Enter, update, and maintain data across CRM systems, custodian platforms, and workflow tools.
  • Monitor workflow queues, service-level expectations, and deadlines to ensure tasks are completed promptly.
  • Support operational reporting, tracking, and team metrics as needed.
  • Learn and adapt to new systems and technologies to improve operational effectiveness.
Qualifications Required Qualifications
  • 2+ years of experience in operations, administrative support, client service, or a related role within financial services or another regulated industry.
  • Strong attention to detail and commitment to accuracy.
  • Excellent organizational and time-management skills with the ability to manage multiple priorities.
  • Ability to follow established procedures while exercising sound judgment.
  • Proficiency with Microsoft Office Suite and the ability to quickly learn new technology platforms.
  • Strong written and verbal communication skills.
Preferred Qualifications
  • Experience supporting advisors, client service teams, or operations within a wealth management, financial planning, or investment advisory environment.
  • Familiarity with account opening, account servicing, and asset movement processes.
  • Understanding of compliance requirements, documentation standards, and regulated business environments.
  • Experience working with CRM systems and custodian platforms.
