What we are looking for:
Mountain Express Oil Company is looking for an Executive Assistant who would be responsible for providing high-level support to our CEO in all his activities. The ideal candidate will have 3-5 years of Executive Assistant experience.
Primary Responsibilities:
The Executive Assistant's responsibilities include recording and distributing minutes of meetings, filing reports and other administrative documents, and meeting with important company business partners on behalf of our CEO. The role of personal executive assistant requires strong organizational skills and time management. MUST HAVE 3-5 YEARS experience as an Executive Assistant to appy.
Essential Functions & Duties:
  • Perform all administrative and clerical duties required by our CEO
  • Screening telephone calls, taking messages and responding to queries.
  • Arranging domestic and international flights, transportation, and accommodation for executives.
  • Coordinating meetings, conference calls, and interviews.
  • Preparing for board meetings, which includes drafting agendas, gathering and printing all necessary documents, and organizing refreshments.
  • Organizing fund-raisers, staff appreciation functions, and other company events.
  • Forwarding or replying to emails and correspondence addressed to the CEO.
  • Compiling and submitting expense reports.
  • Performing personal errands for executives, as required.
  • Proven experience working as a personal executive assistant.
  • Proficient in all Microsoft Office applications.
  • Good phone etiquette.
  • The ability to multitask.
  • Strong planning and organizational skills.
  • Excellent communication skills.
  • Exceptional customer service skills.
  • Detail-oriented.
