Private Family in the Upper East Side, New York Seeking a Full-Time Personal Assistant

Position: Full-Time Live-Out Personal Assistant
Schedule: Flexible; full time
Salary: $50+ per hour, depending on experience
Start Date: Flexible

Family Overview

A private individual on the Upper East Side is seeking a highly experienced, polished, and proactive Personal Assistant to provide comprehensive day-to-day support and help manage all aspects of her personal life and household operations.

The principal is a retired woman with an active and demanding lifestyle who requires a trusted right-hand professional to keep her personal affairs, household, and projects running seamlessly. While there are no other family members residing in the home, the property is fully staffed, and this role will work closely with household employees, vendors, and professional advisors.

The ideal candidate will have significant experience supporting high-net-worth individuals in a similar capacity and will be looking for a dedicated full-time role rather than balancing multiple families or clients. This person should be exceptionally organized, resourceful, and capable of managing a wide variety of responsibilities with discretion, professionalism, and minimal oversight.

Responsibilities
  • Manage and maintain the principals calendar, appointments, and scheduling
  • Coordinate doctor appointments, medications, and healthcare-related information
  • Arrange and manage personal travel plans and itineraries
  • Maintain organized and updated contact lists, including personal details and relationships
  • Create simple and manageable organizational systems for passwords, schedules, and important information
  • Serve as a gatekeeper and reminder system to help the principal stay organized and on track
  • Coordinate household projects, including antique restoration and vendor scheduling
  • Liaise with household staff to ensure smooth daily operations
  • Manage relationships with vendors and professional service providers, including accountants, attorneys, financial advisors, contractors, and household vendors
  • Coordinate with the interior decorator and oversee various home-related projects
  • Handle general problem-solving and day-to-day personal assistance needs
  • Assist with light household support such as watering plants and overseeing household details
  • Keep records, notes, and important information organized and easily accessible
  • Anticipate needs and proactively address issues before they arise
Ideal Candidate
  • Extensive experience as a Personal Assistant supporting a high-net-worth individual, executive, or principal in a private setting
  • Proven success managing complex personal and household operations independently
  • Experience working alongside household staff and coordinating with outside vendors and professional advisors
  • Exceptionally organized with outstanding follow-through and attention to detail
  • Calm, discreet, patient, and service-oriented
  • Tech-savvy with the ability to simplify systems and information
  • Strong scheduling, communication, and problem-solving abilities
  • Proactive and capable of working independently with minimal oversight
  • Warm, polished, and adaptable personality with excellent judgment
  • Seeking a long-term, full-time commitment and ideally not currently supporting multiple families or clients
Requirements
  • Minimum of 5+ years of experience in a similar Personal Assistant, Executive Assistant, or Household Management role
  • Prior experience working in private homes or supporting high-level individuals required
  • Experience managing vendors, household projects, and professional service providers
  • Excellent professional references
  • Strong organizational and administrative skills
  • Ability to maintain strict confidentiality and discretion
  • Legal authorization to work in the United States
  • Comfortable working from the principals residence on the Upper East Side
